Position Summary:
The Director of Membership is responsible for driving the growth and retention of the Chamber’s membership base. This role will proactively identify opportunities to recruit new members, foster relationships, and engage existing members to maximize their involvement. The Director will work closely with leadership, the Board of Directors, and committees to ensure that membership efforts align with organizational goals. The ideal candidate is a motivated, outgoing individual with strong interpersonal skills and a passion for connecting businesses and community leaders.
The Stillwater Chamber of Commerce is a not-for-profit organization that fosters a collaborative team environment and offers unique opportunities to engage with the local business community and area leaders. Essential Duties and Responsibilities:
Membership Recruitment:
Develop and execute a comprehensive membership recruitment strategy, targeting area businesses and organizations.
Actively initiate and manage contact with prospective members, providing personalized follow-up to convert leads into active members.
Maintain and regularly update an accurate database of prospective members and potential leads.
Collaborate with the Board of Directors, committees and volunteers to drive consistent membership recruitment efforts.
Monitor and report recruitment performance, including preparing monthly membership reports for the President/CEO and Board of Directors.
Membership Retention:
Lead a strategic retention program aimed at maintaining and growing the Chamber’s membership base.
Identify at-risk members and develop strategies to address their concerns and encourage renewal.
Actively help with the creation and implementation of value-driven programs, services, and benefits for current members, ensuring their engagement with the Chamber.
Manage the member renewal process, ensuring timely communication and follow-up.
Provide leadership and support to the Ambassador Committee, facilitating member outreach efforts.
Ensure new members understand and utilize their benefits by scheduling onboarding meetings and ongoing engagement throughout their yearly membership.
Program & Event Participation:
Assist in selling sponsorships for Chamber events and programs with the annual Total Resource Campaign.
Attend all Chamber events.
Committee Responsibilities:
Provide professional leadership and staff support to the Ambassadors Committee and any other assigned committees.
Work with the Chair of the Ambassadors Committee to prepare meeting agendas and materials for committee activities, ensuring smooth operation and alignment of Chamber goals.
Reporting and Strategic Planning:
Work closely with the Chamber’s leadership to establish membership goals in line with the Strategic Plan.
Prepare and present data-driven reports and analyses to measure progress against recruitment and retention targets.
Stay informed on industry trends and best practices to inform strategic decisions.
Other Duties & Responsibilities:
Regularly consult with colleagues from other chambers of commerce and state and national organizations to adopt new and innovative approaches for membership recruitment and retention.
Provide recommendations for the development of promotional materials and marketing strategies aimed at prospective members.
Perform various other assignments made by the Chamber leadership.
Position Requirements:
Bachelor's degree in business, marketing, communications, or a related field preferred, or 2-4 years of relevant experience in membership recruitment, sales or nonprofit management.
The equivalent combination of education and experience may be substituted for the stated minimum qualifications.
Proven success in meeting or exceeding sales or membership goals.
Strong interpersonal, communication, and presentation skills with the ability to work collaboratively with diverse stakeholders.
Self-motivated and goal-oriented, with excellent organizational and time management abilities.
Ability to manage multiple priorities and work effectively under pressure to meet deadlines.
Experience working in CRM systems and data analysis tools to track performance and identify growth opportunities.
Valid driver’s license and reliable transportation required.

Work Environment:
Standard office environment with occasional travel within Stillwater and to external Chamber events or training opportunities. Flexibility for occasional evenings and weekends based on event schedules.
Work Hazards:
The role involves minimal exposure to hazardous conditions. Infrequent exposure to moderate noise levels, varying temperatures, and occasional distractions may occur, especially during events.
Physical Demands:
The physical demands described here are those required to perform the essential functions of this position successfully. Reasonable accommodations may be made to enable individuals with disabilities to perform these essential functions.
While performing the duties of this position, the employee is required to stand, walk, sit, talk and hear. Manual dexterity is needed to operate office equipment, including telephone and computer. Specific vision abilities required include close vision for computer work and reading as well as distance vision for event set up and observation.
The employee must occasionally be required to lift and/or move items weighing up to 50 pounds, including event materials and equipment.
Standard business hours are Monday through Friday, 8:00am-5:00pm with a one-hour lunch break. However, irregular working hours may be necessary, including evenings and weekends, to support Chamber events and activities. Local travel within Stillwater and occasional travel outside of the city and state is required for Chamber events and training.
