Work requirements include file creation, labeling, retrievals, transfers, destruction, tracking and also document scanning. This position requires regular professional written and verbal communication with our clients, other departments and vendors. Coordination of records scanning and retrieval projects with other departments and external vendors is also required for this position. Good working skills in Microsoft Word, Excel, Outlook, Adobe PDF, eDocs DM and Legal Key are essential for this position.Job Responsibilities:Experience in data management and the digitization of hard recordsAbility to learn new technologies and adapt to changing priorities and modes of work in a virtual environmentFollowing all established internal Records proceduresCreation of new files and revision of existing filesData entry into the records management databaseAdhering to document retention policiesLabeling, moving and shelving filesFollow-up on checked-out files as neededProcess and file incoming records under their respective client mattersParticipate in diverse ongoing Records projects regularlyCoordinate and track scanning projects between Records and other departmentsDaily scanning of documents using computer desktop scanners and Adobe PDFPDF quality control, profiling and saving to the Document Management SystemUsing a handheld barcode scanner to track the location and movement of internal filesTrack and retrieve files from internal or external locations as needed for client requestsProcessing inactive and closed files in preparation for transfer to off-site storageWork with offsite storage vendors on retrieval/storage of files via web interface or phoneRouting and tracking of locked shred bins managed by Records for the firm’s NY officeMaintaining daily productivity tracking logs of all department activities and projectsResearch of client and matter information in various firm databases as neededWorking on any other reasonable request for Records related assistanceMaintaining the highest levels of confidentiality of all firm records and filesJob Requirements:High school diploma or equivalent, college degree preferredPrior legal records experience requiredExcellent attention to detail and strong consistent task focusProfessional, effective written and oral communication skillsExcellent interpersonal and teamwork skillsEffectively complete tasks without constant supervisionAbility to multi-task and meet multiple deadlinesIntermediate Windows 10 based computer skills requiredGood working skills in Microsoft Word, Excel and Outlook requiredRecord Management Software (LegalKEY, MDY FileSurf, IRM, etc.)Document scanning and Adobe PDF toolset experience preferredAbility to handle sensitive and/or confidential materials requiredCapacity and willingness to climb short ladders/step stoolsMust be able to lift up to 50 lbs. and push carts full of files on a regular basisAble to load, push, and unload carts of boxes or files as neededCapable of understanding client inquiries and providing effective responseWho we are:
