ResponsibilitiesMasterfully manage the executive’s intricate personal and professional calendar
Coordinate seamless travel arrangements, ensuring smooth logistics
Oversee meticulous document control, including organizing financial records and legal paperwork
Track and process invoices for both personal and business expenses
Assist with family-related tasks, such as coordinating school pick-ups and parent-teacher conferences
Maintain organized email communications, prioritizing and responding as needed
Liaise with legal teams, ensuring all necessary documents are prepared and filed timely
Support small capital improvement projects, assisting with coordination and follow-up
Adapt quickly to changing priorities, providing flexible support as needs evolve
Requirements
2-3 years of experience in a personal assistant role, preferably in a high-pressure environment
Exceptional organizational skills with a talent for juggling multiple priorities
Proficiency in Microsoft Office suite, with advanced Excel skills for data management
Outstanding written and verbal communication skills in English
Proven ability to handle confidential information with the utmost discretion
Adaptability and resilience in the face of changing schedules and priorities
Strong problem-solving skills and proactive approach to anticipating needs
Familiarity with real estate or legal processes a plus
Availability during Miami, FL business hours
