Job Purpose:
Beatrice Mayes Institute is seeking an organized, efficient and detail oriented Finance Director to oversee the financial obligations of the organization.
Job Summary:
Direct and manage the operation of financial and accounting functions of the school including accounting, internal audit, accounts payable and ensure the effective management of the Human Resources department. Provide leadership for the school’s financial activity to ensure legally sound and effective management practices. Direct and monitor the management of investments of funds and ensure they are adequately protected. Ensure that financing the school’s strategic growth plan is thoughtfully conceived and executed. This leadership role involves strategic financial planning, budget management, compliance, and HR oversight to support the school’s mission and goals. Serves as a financial advisor to the Superintendent and the Board of Trustees.
POSITION RESPONSIBILITIES
Financial Management:
Under the Superintendent’s direction and with the assistance of staff, prepares annual budgets for all funds and monitors activity in those funds throughout the fiscal year to assure compliance with the School Budget.
Adheres to the Chart of Accounts mandated for school district use by the Texas Education Agency.
Maintains an accounting system adequate to record transactions in accordance with the requirements of GAAP, the Texas Education Agency and other relevant State and federal agencies.
Establishes and maintains a payroll system that satisfies federal laws and regulations such as the Fair Labor Standards Act and the Internal Revenue Service Code; produces the detailed salary and absence data required by the Texas Education Agency.
Maintains user-friendly financial reporting for budget managers within the organization so that they may monitor the status of their accounts to support budget accountability.
Establishes and maintains a system of controls over cash receipts, deposits, disbursements, and investments in accordance with requirements of the Office of the State Treasurer, the Texas Education Agency, and in accordance with standard business practices.
Performs the pre-audit function on all disbursements as required.
Serves as the signatory on checks and purchase orders based on spend limits.
Establishes a system of internal controls for financial operations sufficient to provide reasonable, but not absolute, assurance that accounts are properly stated.
Establishes procedures to assure timely reconciliation of bank accounts.
Maintain and report strategic KPIs associated with excellence as defined by the Superintendent and Board of Trustees.
Arranges for and assists with annual independent financial and compliance audits.
Performs all duties mandated by the Texas Education Agency.
Oversees financial modeling for the school’s strategic growth plan and ensures proper execution of the plan from a financial standpoint.
Supports periodic financial and operational updates to the Board of Trustees to include the Finance Committee.
Helps to hire and maintain a staff adequate to execute all finance responsibilities in a superior manner.
Human Resources Oversight:
Provide guidance to the HR Coordinator ensuring effective recruitment, onboarding, and retention strategies.
Partner with the HR Coordinator to develop and implement HR policies and procedures in alignment with school values and compliance standards.
Oversee and support the HR Coordinator with employee benefits programs and timesheet management for payroll processing.
Foster a positive school culture that promotes staff development and well-being.
Provide support and guidance on employee relations and performance management.
Collaboration and Leadership:
Collaborate with the leadership team to align financial and HR strategies with the school’s mission.
Serve as a liaison between the finance and HR Coordinator, ensuring seamless communication and coordination.
Participate in board meetings, providing insights and updates on financial and HR matters.
Lead and mentor finance and HR staff, fostering professional development and accountability.
Performs other duties as assigned.
Skills:
Technology skills:
possesses demonstrated facility with spreadsheet software (EXCEL) and word processing software (WORD), familiarity with typical computer-based financial software packages, and experience with database search and retrieval both through query functions and typical web-based reporting to answer questions or to detect errors. Previous experience and functioning knowledge of the Skyward educational and business software is preferred.
Coordinating skills:
possesses the ability to determine how to schedule the sequence of work activities of many different individuals to meet a deadline and the ability to determine what specific changes must be made in many different procedures performed by many different individuals to implement a new or changed requirement.
Administrative skills:
possess the ability to determine what laws or regulations are pertinent to a particular issue and how to reconcile them when they do not align naturally with each other.
Communication skills:
possess the ability to explain financial procedures to non-financially-minded individuals and to engender understanding and support when changes in established procedures are necessary. Ability to interact and communicate to external parties the financial position and operations of the school.
Planning skills:
exercises planning skills in the annual budget process and in response to ad hoc requirements.
Management skills:
able to hire, retain and supervise an excellent staff.
QUALIFICATIONS:
Prior supervisory experience over financial operations of a similar scope in a charter school or educational setting is highly preferred.
Knowledge of Skyward (Qmlativ) school business software is preferred.
Strong understanding of financial regulations, budgeting processes and HR best practices.
Five years’ experience in school business administration or other related certification desired.
At least a Bachelor’s in Business Administration or Accounting is required; CPA license optional.
Excellent analytical, problem-solving, and organizational skills.
Exceptional interpersonal and communication abilities.
