Job Summary: The Department of Educational Policy Studies (EPS) is looking for a collaborative Administrative Specialist to support the continued growth of our inclusive and justice-oriented department. This new position will handle a variety of basic to intermediate administrative duties in the areas of human resources (e.g., student hourly processing), financial services (e.g., e-reimbursement and purchasing), and some student services (E.g., international student/scholar processing). We seek someone who is solution-oriented and proactive with their work, while contributing to a welcoming and respectful environment for students, faculty, staff, and members of the public. This position may be hybrid; regular, weekly on-site work is required. Information about UW-Madison's commitment to Our Shared Future may be found at: https://oursharedfuture.wisc.edu/ Responsibilities: Responsible for a variety of professional level work across a variety of administrative service areas including budget, finance, procurement, and human resources with impact across the institution in support of unit or institutional goals. 25% Implements and executes established policies and procedures for a designated work unit to adhere to unit objectives and to align with established strategies 25% Schedules logistics and secures resources for a designated work unit to contribute to the day-to-day operational success 15% Analyzes data and trends, compiles progress reports, and provides appropriate recommendations or conclusions in support of the assigned operational work unit(s) 20% Assists, recommends, and advises staff on unit or program administrative issues, personnel matters, and budgetary problems 15% Serves on committees and attends meetings, representing the interests of the unit or program Institutional Statement on Diversity: Diversity is a source of strength, creativity, and innovation for UW-Madison. Diploma Qualifications: Required Qualifications: - Proficiency in Microsoft Office products, including MS Excel and Outlook calendar. - 2 years experience in administration, finance, or human resources in an institution of higher education. - The ability to listen, understand and communicate information and ideas effectively in writing, over the phone and in person, with a diverse array of students, faculty and staff. - Excellent time management skills with the ability to work independently or collaboratively. - Experience prioritizing and managing multiple projects despite interruptions, while closely tracking details and seeking for ways to improve processes. - 2 years work experience understanding and working with Federal, State, and/or institutional level policies on travel, purchasing, and/or employee supervision. Preferred qualifications: - Work experience with US immigration and visa processes, especially Terra Dotta. - Familiarity with processes and tools used at UW-Madison such as; WISER, Oracle (HRS), Concur Travel, and ShopUW, Tableau, SFS, Workday and processes such as paying stipends, setting up ASSAs (Academic Support Services Agreements), and entering/monitoring student worker hours in HRS, and international student needs and processes. Work Type: Full Time: 100% This position may require some work to be performed in-person, onsite, at a designated campus work location. Some work may be performed remotely, at an offsite, non-campus work location.
