Job Details:
The successful Assistant Project Manager will assist with all financial reporting on a project as well as tracking and projecting of all labor, material, job expenses, and changes. This individual will also assist with monthly financial projections, creation of job specific schedule of values which maintains positive cash flow, and will help to create, submit, and manage all submittals throughout the entire project. This position requires the successful candidate to possess strong organizational, negotiation, financial, and communication skills.
Responsibilities:
Preparing submittals of drawings, material, equipment, and associated logsSubmission of RFI's and associated logs along with follow-upPreparation of change requestsAssist with the change order process including take off, input, set-up, and explanation of costsUnderstanding how change order work is to be performed and defending any unreasonable or uneducated objections to costPurchasing and scoping out major purchases to ensure required quantities, compatibility with other systems, specs, and project requirements are met within or below budgetsDraft purchase orders and assist with tracking associated vendor billingDraft subcontracts and unique work orders, scope out subcontractors, ensure subcontractors are meeting project requirements within or below budgetReviewing project costs weeklyPreparing close out documents, i.e. as build drawings, OM manuals, training, panel schedules etc.Prepare equipment logs for lighting, lighting control equipment, and gear for the fieldDevelop project schedule and monitor/update as project progressesSolicit vendor and contractor proposalsAbility to handle multiple projects in various stages of activitiesWorking knowledge of billing and schedule of values including AIA setup, schedule of values setup, bonds, retainage, percent complete, billing dates, and requirements for projectsWorking knowledge of CTC process and analysis reportUnderstanding labor reports, percent completes, project schedules, budget and labor codes, and the processes for project cost setupProperly interpret contracts, subcontracts, and associated documentsFacilitate project team and client meetings effectivelyAssist with the information flow from the General Contractor, to Construction Management, to the fieldAttend regular status meetings with client team and management and distribute meeting minutesKeep project team well informed of changes and updatesEffectively communicate relevant project information to project team & superiorsResolve and/or escalate issues in a timely fashionUnderstand how to communicate difficult/sensitive information tactfullyCommunicate effectively with clients to identify needs and evaluate alternative business solutions
Proven people management, process management, and performance management skillsKnowledge of financial software, accounting practices, change order pricing, and billingsExcellent time management skills and ability to multi-task and prioritize workAttention to detail and problem solving skillsExcellent written and verbal communication skillsStrong budget tracking, labor tracking, and scheduling skillsProficiency in information analyzation and budget setupExcellent understanding of electrical code and proper means and methodsMust be able to write succinct yet detailed arguments when presenting proposals for out of scope work
