Summary: Performs administrative and secretarial duties regularly requiring independent judgment and discretion in support of the Vice President for Patient Services and other leadership personnel and departments as well as assists the entire Nursing Leadership Team in the day-to-day operation of their work. Coordinates all office procedures consistent with the policies of the department in accordance with Hospital Administration.
1. Coordinates all activities involved in the accurate preparation of customary and confidential departmental workflow to facilitate ongoing communications and efficient departmental/hospital operations.
2. Assumes responsibility for communications relative to Vice President for Patient Care Services and other assigned leader's calendars to accurately reflect commitments.
3. Screens and refers all incoming phone calls and department visitors to ensure that accurate and timely departmental communications are facilitated and that the Department/Hospital is presented in a positive manner, in addition to coordinating responses to patient/family complaints and complimentary calls received into the office
4. Fiscal budget activities.
5. Maintains appropriate departmental records and establishes departmental filing systems to ensure the expeditious retrieval of information.
6. Maintains proper levels of office supply inventories and coordinates required maintenance of office areas and office machines in order to allow staff to complete assigned responsibilities.
7. Guest Relations: Demonstrates regard for the dignity and respect of all patients, family members, visitors, and hospital personnel as defined in the philosophy of Vassar Brothers Hospital.
JOB QUALIFICATIONS:
Education: Requires one (1) year of college or specialized post-high school training in the Secretarial Sciences and/or Office Management.
Experience: Requires a minimum of three and up to five years of experience as a Department Secretary to acquire knowledge and related skills.
