Minimum of 8 years of administrative support experience Job Summary: We are seeking an experienced Administrative Assistant, Executive II, to join our dynamic team. The ideal candidate will possess extensive experience in administrative support, particularly within the Department of Defense (DoD) Program Executive Office (PEO), Project Manager (O6 PM), or Product Manager (O5 PdM) environments. This role is crucial for ensuring efficient operations and support for systems engineering and architecture development processes. Key Responsibilities:
Calendar Management:
Effectively manage and coordinate complex calendars, scheduling meetings and events for senior leadership. Travel Coordination:
Oversee coordination and documentation related to travel, meetings, and conferences, ensuring all arrangements are handled smoothly. DTS Authorizations:
Prepare and submit Defense Travel System (DTS) authorizations accurately and in a timely manner. Administrative Support:
Provide comprehensive administrative support essential for systems engineering and architecture development processes, including:
Documentation preparation and review. Compliance monitoring and progress evaluation. Schedule compliance and technical assessments.
Reporting and Invoicing:
Develop a variety of reports, including monthly progress/status reports, and produce invoices for the Government categorized by ACRN, Functional Area, System Name, etc. Financial Monitoring:
Monitor and track obligations and expenditures for assigned contract tasks, schedules, and ceilings, and resolve any billing or invoice discrepancies as necessary. Technical Report Preparation:
Exhibit the ability to type and format highly specialized technical reports rapidly and accurately. Equipment Operation:
Operate computer terminals and work processing center equipment with proficiency. General Administrative Services:
Perform a wide range of administrative services as needed to support overall operations. Qualifications:
Bachelor's Degree (BA or BS) in any field is required. A minimum of 8 years of administrative support experience, specifically with the DoD Program Executive Office (PEO), Project Manager (O6 PM), or Product Manager (O5 PdM). Proficiency in Microsoft Office Suite and familiarity with office equipment and work processing center operations. Exceptional written and verbal communication skills. Proven ability to prioritize tasks effectively and work independently in a fast-paced environment. Strong attention to detail and the ability to handle both non-technical and technical office administrative tasks.
