As an administrative assistant at our tax & accounting firm, you will play a vital role in ensuring the smooth operation of processing client deliverables & daily administrative tasks. Your responsibilities will include providing support to our team of tax professionals through scanning, filing & organizing tax documents, assisting clients with their inquiries, assembling tax returns & financial statements, & processing billing & deposits. A successful candidate will have experience working in an administrative role in a professional office setting, effective communication skills, experience with technology, a friendly attitude & the ability to build relationships. They will also have the ability & desire to continually improve administrative skills, & be a contributor who is efficient, methodical & precise. Expected start date of December 2, 2024 Responsibilities: Greet & assist clients with inquiries & document submissions Maintain polite & professional communications via phone, email & in-person Scan, organize & maintain physical & digital files, records & databases Processing of client deliverables (tax returns, financial statements, etc.) Various office administration tasks such as filing, mailing, & scanning Process billing & month end statements & record daily deposits Perform multiple tasks simultaneously with accuracy Ensure the confidentiality & security of sensitive client information Collaborate with CPAs to ensure efficient workflow & communication Experience/Skills: Excellent written, oral, & interpersonal communication skills Positive attitude & willingness to learn Ability to prioritize tasks & meet deadlines Ability to learn & adapt to multiple software Must be organized, thorough & maintain consistent level of effort & accuracy Proficiency in MS Office 365 required. Experience in Practice CS a plus.
