In this hybrid role, you will be responsible for pantry management, catering coordination, meeting room setup, office supply organization, and serving as the first point of contact for facilities requests and visitor management. You will be a key representative of the workplace experience, ensuring a welcoming and efficient environment for employees, visitors, and business partners.This role requires

Manage inventory, ordering through vendors, and ensure the pantry is well-stocked, organized, and clean.Manage the ordering and coordination of catering for team meals and special events.Facilitate smooth service for employee engagement events and celebrations, such as anniversaries and holidays.Handle the setup, breakdown, refreshing, and resetting of all meeting and event spaces (e.g., tables, chairs, flipcharts, whiteboards) and manage catering deliveries.Act as the first point of contact for visitors, ensuring a seamless and welcoming experience.Proactively communicate with guests to provide parking information, building details, and directions.Collaborate with clients, customers, and support teams to anticipate needs, identify issues, and deliver creative solutions.Serve as the primary point of contact for facilities-related requests, utilizing the landlord’s online work order portal. Track, follow up, and ensure timely completion of all requests related to housekeeping, maintenance, and office upkeep.Assist with planning and executing employee engagement events and celebrations, working closely with internal teams and vendors.Manage office supplies inventory and ordering, ensuring timely restocking and organization to meet employee needs.Coordinate mailroom and package services, ensuring efficient handling of deliveries and shipments.Research and arrange local activities, tickets, dining reservations, transportation, accommodations, and other referrals for employees and visitors as needed.Provide administrative support to the workplace services team remotely, assisting with facilities work orders and other tasks as directed.Respond promptly and professionally to colleague requests and complaints, maintaining accurate records of service requests and their status.Demonstrate confidence, professionalism, responsiveness, and exceptional customer service skills in all interactions.Perform other job-related duties as assigned.CompetenciesPassionate about delivering exceptional experiences to employees and visitors.Ability to manage multiple tasks, prioritize responsibilities, and stay organized in a fast-paced environment.Familiarity with online ordering systems, work order portals, and office software (e.g., Microsoft Office Suite).Strong interpersonal and communication skills, with the ability to engage professionally with employees, guests, and vendors.A keen eye for ensuring the office environment, pantry, and meeting spaces are always well-organized and up to standard.Flexibility to manage both onsite and remote responsibilities while adapting to changing priorities.Professional appearance and demeanor, with a genuine passion for hospitality and service excellence.Requirements2-3 years of experience in hospitality, office services, or facilities management, with a strong focus on delivering excellent employee and visitor experiences.Familiarity with online ordering systems, work order portals, and Microsoft Office Suite (Outlook, Word, Excel).Ability to work independently and provide remote administrative support efficiently for the workplace services team.Ability to move through the office regularly, lift and carry up to 15lbs, and manage restocking of pantry and supplies.Available to work onsite 20 hours per week and remotely for an additional 20 hours.Proactive in resolving issues related to catering, facilities, or pantry services, and ability to coordinate with multiple vendors.Strong written and verbal communication skills for interacting with employees, visitors, and vendors.Why Join Us?Join Circles as a Workplace Services Ambassador and play an essential role in creating an exceptional workplace experience for a global life sciences company.
