EFFECTIVE DATE: December 2, 2024
ESSENTIAL DUTIES AND RESPONSIBILITIES: Other duties may be assigned• Handles telephone calls in a polite, professional and informative manner• Types correspondence, letters and memos, purchase orders, forms, etc.• Responds to routine questions, sets appointments or routes calls to appropriate person• Assists with scheduling of appointments for the principal• Prepares the morning announcements, routes them to students and staff• Watches that homework requests are organized with necessary materials• Resolves bus scheduling problems and other issues as they arise• Receives visitors, new parents, and students; answering questions; resolves student problems• Schedules requested conferences and facilitates use of building by external groups. Serves as confidential secretaryto the principal and assistant principal• Acts a liaison between school and community, principal, parents, staff and students• Operates and maintains office equipment, requests service when needed• Attends open house, registration and Parent Fair• Distributes daily mail/checks• Maintains calendar of events for teachers, students and staff• Processes field trip requests; process conference leave requests; process accident reports• Organizes and communicate Facility Rental Requests• Assists with school picture day, parent/teacher conferences, and awards programs• Calls fire and police when doing fire drills• Utilizes school wide communication system• Maintains vendor file including W-9's, vendor numbers and responds to vendor inquiry regarding payment.• Reviews, processes and pays all authorized invoices. Ensures timely entry of data to automated system• Assist with bi-annual audit• Prepares, verifies and distributes checks; files copies• Balances bank statements monthly• Balances fund report to bank statement monthly• Receives and records payments for book rental fees on school's computer system throughout the year• Sends out invoices for unpaid book rental fees in a timely fashion• Responds to expenditure questions from principal and members of the district business office• Escorts and records substitute teachers• Orders, processes, and maintains accurate inventory of office supplies and equipment• Responsible for Amazon shipping receipts and tickets of items received at building level within 24-48 hours of receipt• Maintains and prints report cards and quarterly honor roll• Generates job postings• Processes payroll data and attendance for all school employees and maintain accurate, up-to-date files• Prepares, distributes, files records/reports related to purchasing• Prepares and maintains reports for State Board of Accounts• Prepares elementary school ECA budget• Prepares and enters on Gateway annually ECA Risk Report• Prepares monthly cash flow reports• Willingness to help other as needed• Maintains Public Official Surety Bond of $100K, cost of bond paid by Corporation• Maintains satisfactory attendance• Complies with Corporation Bylaws, Policies and Employee Handbook• Models Corporation Mission Statement and Fundamental Objectives
