Sr Executive Admin Assistant, Full-Time, Easton PA GENERAL SUMMARY: Primarily responsible for professional administrative work of somewhat complex nature for an executive (s). Acts in a highly confidential capacity to provide administrative support with regard to financial information, personnel transactions, associate relations, legal actions, and other management, supervisory, and administrative activities. Maintains executive calendar(s), processes corporate expense report(s), coordinates and organizes meetings and events, and coordinates travel. Supports key executive presentations to Hallmark Cards including Quarterly Business Review, Strategic Planning. PRINCIPAL DUTIES & RESPONSIBILITIES: Organizes and administers the work schedule, projects, communications and provides overall administrative support. Schedules appointments and maintains executive calendar(s), and assures that complete information is available for all matters on the schedules. Prepares correspondence and communication as required, to include letters, presentations, samples, and reports. This may include the preparation of legal documents and correspondence regarding financial issues, and / or communication with Hallmark. Coordinates executive travel arrangements. Prepares Expense Reports for credit card payment and travel reimbursements. Prepares executive-level presentations. Arranges for meetings, conferences and events, coordinating all arrangements necessary to successfully complete the session. Coordinates corporate and multi-divisional events including examples such as Toy Fair, Sales Meetings, Global Line Reviews, Innovation and Tech Share, support for Hallmark Quarterly Business Review. Coordinates divisional events including New Product Development stage gates (CSel, PSel, RFA meetings), Division Town Halls, division-wide events. Relates to others in a courteous and friendly manner assuring interpersonal relationships are established and maintained. Exhibits professional demeanor at all times.
JOB SPECIFICATIONS: High school diploma or equivalent; advanced some college preferred. At least 5 years experience in office administration, clerical work at a senior executive level. Proficiency in Microsoft Office applications (Word, Excel, PowerPoint), Outlook email/calendar application, accounts payable applications/SAP,as well as the Internet research skills. Ability to independently create executive quality presentations. Knowledge of worldwide travel, conference, and special meeting arrangements. Multi-task oriented with strong organizational, planning, and follow-up skills. Excellent verbal and communication skills, both oral and written, and attention to detail. Must take initiative, can take independent action, can get work done in a timely and accurate fashion with little supervision. Required to operate in a daily arena where confidentiality is an absolute requirement of the position. Professional appearance and behavior. Superior interpersonal skills are required with the ability to establish and maintain good rapport with department staff, associates, senior executives, parent company, community, and all external contacts. Has to have the ability to develop and maintain a rapport and trusting relationship with the executive(s). Ability to learn the business, follow policies and procedures, work well with others, live and breathe the Company's Desired Culture.
