Job Description:

The Executive Assistant is to provide comprehensive administrative support to the executive team, ensuring smooth and efficient operation of the organization. The Executive Assistant will play a critical role in managing schedules, coordinating meetings and events, handling correspondence, and supporting special projects and initiatives.

NATIVE PREFERENCE

Preference in hiring is given to the most qualified applicant. However, when candidates for an open position are determined to be equally qualified, Native American candidates will have preference for hiring purposes. This means that if the qualifications of the best candidates are comparable, the Native American candidate is given preference. The following order of preference shall be adhered to when hiring: (1) Members of a tribe; (2) Spouses or domestic partners (certified through Tribal Court or the State of California) of members of a tribe; 3) Parents of children of there tribe; 4) All other documented Native Americans; 5) All other applicants in accordance with Title 25, U.S. Code, Section 472 and 473. Applicants claiming Indian preference must submit verification of Indian eligibility.

Responsibilities:

Calendar Management: Manage executive calendars, including scheduling appointments, meetings, and conference calls, and coordinating travel arrangements and accommodations as needed. Anticipate scheduling conflicts and proactively resolve scheduling issues.

Meeting Coordination: Prepare meeting agendas, materials, and presentations, and coordinate logistics for internal and external meetings, including room reservations, catering, and audiovisual equipment setup. Attend meetings, take minutes, and follow up on action items as needed.

Communication Management: Screen and prioritize incoming calls, emails, and correspondence for the executive team, responding to routine inquiries and drafting responses on behalf of executives. Maintain confidentiality and handle sensitive information with discretion.

Document Preparation: Draft, edit, and format documents, reports, presentations, and correspondence for the executive team, ensuring accuracy, clarity, and professionalism. Proofread and review documents for grammar, spelling, and formatting errors.

Project Support: Provide administrative support for special projects, initiatives, and events led by the executive team, including research, data analysis, and coordination with internal and external stakeholders. Track project milestones and deadlines to ensure timely completion.

Relationship Management: Build and maintain positive working relationships with internal staff, board members, donors, partners, and other stakeholders. Serve as a liaison between the executive team and internal and external contacts.

Office Management: Assist with general office management tasks, including ordering supplies, managing mail and deliveries, and maintaining organized files and records. Coordinate office maintenance and repairs as needed.

Executive Support: Provide ad hoc support to executives as requested, including personal assistance and errands, time management and productivity support, and other administrative tasks as needed.

Suggested Qualifications:

AA/ Bachelor's degree or equivalent experience in business administration, communications, or a related field preferred.

Minimum of 5 years of experience in executive support, administrative assistance, or office management, preferably in a nonprofit or corporate environment.

Strong organizational and time management skills, with the ability to prioritize tasks and manage competing deadlines.

Excellent communication and interpersonal skills, with the ability to interact effectively with diverse stakeholders.

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and calendar management tools.

Detail-oriented with a high level of accuracy in data entry, document preparation, and information management.

Ability to maintain confidentiality and handle sensitive information with discretion.

Proactive and resourceful, with a solutions-oriented approach to problem-solving.

Commitment to the mission and values of Native C.O.R.E., including a passion for social justice and equity.

Knowledge of/and or experience working with Native American population.
