Executive Administrative Assistant

Job Description:

We are seeking a highly organized, detail-oriented, and proactive Executive Administrative Assistant to support our senior leadership team reporting to the Senior Vice President of Sales and Marketing. The successful candidate will act as a key liaison, providing administrative and operational support to executives, helping streamline communication, manage schedules, and handle sensitive information. The role requires exceptional organizational skills, the ability to work under pressure, and a high level of discretion.

Key Responsibilities: Executive Support:

Provide comprehensive administrative assistance to executive leaders, including managing calendars, scheduling meetings, and coordinating travel arrangements. Communication Management:

Handle internal and external communications, ensuring smooth and timely information flow between executives, teams, and external stakeholders. Meeting Coordination:

Prepare agendas, take detailed meeting minutes, and follow up on action items from leadership meetings. Travel & Expense Management:

Coordinate international and domestic travel arrangements, including flights, hotels, ground transportation, and expense reporting. Project Support:

Assist in organizing and coordinating special projects, presentations, and events as directed by the executive team. Document Preparation:

Draft, proofread, and edit correspondence, reports, presentations, and other documentation as needed. Office Management:

Manage office resources, including supplies and equipment, and maintain relationships with vendors. Confidentiality:

Handle sensitive information with the highest level of discretion and maintain confidentiality at all times. Qualifications:

Experience:

Minimum of 5 years of administrative support experience, with at least 3 years in executive-level support. Education:

Bachelor's degree in Business Administration, Communications, or related field preferred. Skills:

Strong organizational and time-management abilities. Excellent verbal and written communication skills. High level of proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and other relevant software tools. Ability to work independently, prioritize tasks, and meet tight deadlines. Strong problem-solving skills and attention to detail. Ability to maintain professionalism and confidentiality. Flexibility to adapt to changing priorities and a fast-paced environment.

This is a Monday through Friday position 40 hour work week.
