OverviewThe Office of the CEO (OCEO) is seeking an experienced Executive Business Administrator toprovidehigh level administrative supportin a fast-paced environment supporting the Chief of Staffs andthe OCEOteam. This is a critical role supporting work needed to drive activities for the Office of the CEO. This positionrequires outstanding executive maturity as contact with all levels of Microsoft is constant. You will provide unparalleled administrative support in a myriad of ways. Your primary function will be to provide calendar support for the OCEO Chiefs of Staff. This will require the ability to adjust meetings based on business needs while communicating those changes in a compassionate yet discretionary manner. Candidates will demonstrate exemplary organizational, interpersonal and oral and verbal communication skills along with the ability to work independently and professionally.The ability to work successfully under pressure in a fast-paced team environment, build and maintain effective working relationships, accommodate diverse working styles will be paramount, while attention to detailand the abilityto maintain strict confidentialityis critical. With guidance, making time management decisions on behalf of the Chief of Staffs to ensure meeting requests meet withtime management priorities, performanceobjectives and the needs of the business. Organizing key information and resources for the OCEO in OneNote, SharePoint, etc. and maintaining distribution lists so that they are always up to date. Acting as a representative for the Chief of Staffs to a wide spectrum of MS employees, as well as executivesand employees from outside organizations. Arranging international Visa processing in a timely manner Reconciling and submitting expense reports for the Chief of Staffs as well as assisting in some cases with other OCEO member expense reports, as appropriate. Planning and supporting team meetings, offsites and/or morale events. Ensuring New hire set ups are all-inclusive to create an unsurpassed experience for new OCEO employees. (Employee Central/iCIMS functions, Office setup including computerequipment, office space allocation, aliases, etc. Procurement of goods and services, office supplies and referencematerials for the team, opening purchase orders and processing invoices Ability to prioritize and juggle multiple projects at once, including solid project-management andproblem-solving skills, while following through on issuesin a timely manner Organizational,analyticaland written communication skillsAble to work effectively under pressure withinshort timeconstraints, and inrelativelyambiguousandcomplex situations Partnering and cross-collaborating with individuals and teams in many parts of the broader company, employees, and external organizations. Managingopenheadcount Reviewing operating budget and spending,identifyingnear-overages and relaying findings to chiefs of staff.
