What you'll do
:
As our CEO's Executive Assistant ("EA"), you will play a critical role in managing the CEO's time, scheduling, and administrative needs. Your primary focus will be on optimizing the CEO's schedule, coordinating high-priority meetings, and ensuring smooth daily operations. The ideal candidate will be an experienced, organized, and detail-oriented professional with excellent communication skills and the ability to collaborate with internal and external stakeholders of all levels.
Key Responsibilities:
Time Management & SchedulingMaintain an accurate and organized professional and personal calendar for the CEO while providing day-to-day supportAct as the point of contact for all scheduling, ensuring CEO's time is allocated effectively based on urgency and priorityConfirm meeting agendas and gather relevant documents to ensure all meetings are productive and the CEO is adequately prepared with necessary informationHandle scheduling and logistics for leadership team-wide meetings and eventsCommunication & Coordination
Maintain ongoing, fluid communications with CEOCoordinate with internal and external stakeholders, ensuring effective communication and follow-upMaintain and prioritize the CEO's email communications, ensuring timely responses to urgent matters, flagging important issues for review, and organizing emails. Handle all confidential / sensitive information with extreme discretionOrganize and manage documents, files, and correspondence with accuracy and efficiencyTask Management & CEO Support
Act as a trusted partner, developing a strong understanding of the business and proactively handling tasks independentlyResourceful builder that creates and optimizes processes to ensure smooth operations, leveraging automations where helpfulAct as the first point of contact for all items requiring CEO input or approvalHandle expense reporting and processing with accuracy and attention to detailCoordinate with the NYC Office Manager to manage mail, employee / external gifting, and other ad hoc support tasksArrange travel logistics, including flights, accommodations, and transportation, with a high degree of accuracyWho you are:
5-8+ years of experience as an Executive Assistant supporting senior executives or leadership teams in a Series B-D startup environmentExceptional time management, organizational skills, attention to detail, and ability to manage multiple priorities effectivelyExcellent written and verbal communication skills, with the ability to interact professionally with internal and external stakeholders at all levelsStrong problem-solving skills and resourcefulness. Ability to determine priorities and take action accordinglyAbility to work in our NYC office 5 days per week (M-F)Fluent in Apple Products (Mac, iPhone), Google Suite (Gmail, Calendar, Docs, Slides, Sheets), Slack, and Zoom; ability to learn and work with other software toolsExperience as the first EA for an executive at a startup and/or experience in tech is a plusStrong sense of ownership. You have flexibility to occasionally be available to work outside of standard business hoursWhat We Offer

The compensation range being offered for this role is $130,000 - $150,000. This is an in-office role, based in Manhattan.
