The Administrative Assistant serves as the first point of contact for our office and is responsible for front office administrative duties, answering phones, responding to company inquiries, and greeting and directing guests. The Administrative Assistant is part of the Resolution Economics' Administrative Team and works across offices with HR, Operations, and Accounting to provide administrative support to the company.We have an immediate opening for an experienced Administrative Assistant onsite in our Charlotte, NC office.Wage Scale:The Administrative Assistant is paid at a base hourly rate of between $25.00 and $30.00 for non-overtime work hours, subject to all required deductions and withholdings, and not including the value of benefits under any Resolution Economics-maintained benefit plan. The Administrative Assistant is eligible for overtime pay to the extent provided by applicable federal and state law.The Administrative Assistant reports directly to Partners in the Charlotte office and the Chief Financial Officer in Los Angeles. Primary responsibilities include, but are not limited to:Competently and courteously welcoming office visitorsAnswering phones promptly and directing all incoming calls appropriatelyCoordinating mail flow in and out of officePreparing and mailing invoices for services renderedManaging multiple projects simultaneously and bringing them to completion in a timely mannerMonitoring and directing e-mail communications to the appropriate internal teams and ensuring that project staff are notified of ongoing client needsMaintaining calendars for the office and the Partners and assisting with scheduling meetings and drafting agendasProviding support and assisting with administrative tasks for other offices as neededCoordinating recreational activities, company events, and catered lunchesMaking travel arrangements, tracking time and expenses, ordering lunches, data entry, etc.Maintaining office cleanliness in common areas such as the kitchen, conference rooms, reception area, and supply roomsTracking and ordering office supplies, groceries, etc.Assisting with onboarding and training of new employeesSetting up employees, vendors, and visitors' access in the building management systemPerforming other duties as assigned
Job Qualifications:Skills and AbilitiesProficiency with Microsoft Office Suite (Word, PowerPoint, Excel, Outlook)Experience with Teams, Zoom, and multi-line phone systemsProfessional demeanor and good communication skillsAbility to oversee and complete multiple projects in a timely mannerStrong organizational skills and attention to detailAbility to maintain a good record of attendanceCapacity to lift 15 -20 poundsDiscretion and good judgement (particularly with sensitive or confidential information)
Education and Work Experience2+ years of experience as an Administrative Assistant, Receptionist, or Office Assistant in a professional settingExperience in a litigation or consulting environment a plusExperience with Salesforce a plus
