We are seeking a highly organized and proactive Administrative Assistant to join our team and support our operations by supporting administrative duties and managing dispatching for our skilled tradespeople, including plumbers, carpenters, electricians, and HVAC technicians.Position Summary:

The Administrative Assistant will play a key role in ensuring efficient communication and coordination between clients and our service teams. This position requires strong organizational skills, excellent communication abilities, and a detail-oriented approach to multitasking in a fast-paced environment.Key Responsibilities:Dispatching:Schedule and dispatch service requests for applicable tradespeople, technicians, or contractors.Monitor and adjust schedules as necessary based on availability and urgency of requests.Communicate effectively with service teams to ensure timely response to customer needs.Client Interaction:Serve as the primary point of contact for clients, addressing inquiries and providing updates on service requests.Maintain a positive and professional demeanor while managing customer expectations.Administrative Support:Perform general administrative tasks, including data entry, filing, and managing correspondence.Assist in maintaining an organized office environment and ensure all documentation is accurate and up-to-date.Coordination and Collaboration:Collaborate with team members to prioritize service requests and allocate resources efficiently.Support the management team in tracking project progress and maintaining service records.Reporting and Record Keeping:Generate and maintain reports on service requests, technician performance, and client feedback.Ensure all client interactions and service activities are documented accurately in the system.Other Duties:Assist in special projects or tasks as assigned by management.Stay updated on company services and industry trends to effectively communicate with clients.Qualifications:High school diploma or equivalent; additional education or certification in office administration is a plus.Proven experience in an administrative role, preferably in a service-oriented environment.Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with dispatch or scheduling software.Excellent communication skills, both verbal and written, with a strong customer service orientation.Strong organizational skills and the ability to multitask in a fast-paced environment.Ability to work independently and collaboratively as part of a team.Physical Requirements:Ability to sit for extended periods and use a computer.Occasional lifting of office supplies or equipment (up to 20 lbs).
