SUMMARY

Housing for Health (HFH) is a program office within Health Services Administration, a division under the Los Angeles County Department of Health Services (DHS). HFH supports the Los Angeles County Homeless Initiative’s recommendations and efforts to address and combat homelessness in the communities within Los Angeles County. The HFH Interim Housing (IH) program serves individuals with complex health and/or behavioral health conditions who need a higher level of support services than is available in most shelter settings. The program offers temporary housing in a stable environment to assist clients in stabilizing, increasing independence and completing permanent housing goals. The HFH IH program collaborates with County’s Chief Executive Office Homeless Initiative team to implement interim housing projects under the Pathway Home initiative. Pathway Home is an encampment resolution project with the goal of reducing unsheltered homelessness in communities across the county through the provision of interim housing and supportive services. Our organization follows a hybrid work structure where employees work both remotely and from the office, as needed.

The Staff Assistant I will support members of the Pathway Home IH team with a variety of administrative and specialized clerical tasks that include but are not limited to: referral facilitation, engagement with referral partners, and contracted providers, and data entry, tracking, and reconciliation. They will also work with members across the IH program and aid in administrative functions such as participant transfers and exit processing in databases used by the team. Ideal candidates will be organized, capable of reviewing and prioritizing multiple tasks at a time, and flexible to meet the changing needs and demands of this work.

ESSENTIAL FUNCTIONS

Coordinates meetings between internal and external stakeholders related to Pathway Home and other interim housing projects. Coordination also includes preparation of meeting agendas and note taking as needed.Completes data entry, tracking, and supports reconciliation of interim housing program placement referrals and transfers for Pathway Home and other interim housing projects.Supports interim housing team staff in the processing of exits in database systems such as CHAMP and HMIS.Supports Pathway Home team staff in the compiling of and completion of reports on project deliverables.Liaises with internal HFH staff in the ordering and inventorying and gathering program supplies (i.e., amnesty lockers and/or Narcan) for deployment and use at Pathway Home and other IH sites.Leads in the development and dissemination of ongoing and ad hoc communications on program and project updates to applicable internal and external stakeholders that may include presentations, memorandums, reports, or other documents.Makes appointments and arranges conferences, trainings, and meetings for HFH personnel as applicable; coordinates and schedules applicable internal and external personnel (e.g., HFH personnel and/or HFH community/contractor agencies) with respect to HFH trainings, meetings, events; maintains training calendars, vacation calendars, etc. as neededMay support in the preliminary analysis and/or review of data, and support Pathway Home team in development and tracking of recommendations to enhance program operations.Performs other clerical, general administrative/technical assistance duties as assigned.JOB QUALIFICATIONS

Education/Experience

One year experience in a highly responsible secretarial capacity or a supervisory clerical capacity.

Certificates/Licenses/Clearances

A valid California Class C Driver License or the ability to utilize an alternative method of transportation when needed to carry out job-related essential functions.Successful clearing through the Live Scan process with the County of Los Angeles.Other Skills, Knowledge, and Abilities

Experience in assisting and providing services to vulnerable populations, e.g., people who are experiencing homelessness or at risk of being homelessProficient skill set in using an array of Microsoft Office Suite software programs such as Word, Excel, PowerPoint, Access, Adobe Reader, One Note, Outlook, Publisher, Skype, Outlook, etc.Able to multi-task and set workload priorities for time sensitive projects/tasks.Ability to problem solve and make recommendations to processes, policies, etc.Able to communicate with all levels of personnel, e.g., written, verbal, in a professional and concise/clear manner; ability to work within a project team and/or independently.Able to work in a very diverse environment and with diverse individuals.Ability to be flexible in meeting changing work tasks and timelines; must be dependable and reliable.
