Klingenstein Library convey the stories of the city and nation’s diverse populations, expanding our understanding of who we are as Americans and how we came to be.JOB SUMMARYThe Development Operations Manager is responsible for the organization’s database (currently Blackbaud’s Altru, and soon to be Tessitura), including data structure, supervision, data retrieval, report customization and analysis, policies & procedures, security, and data entry quality control. They are also responsible for the processing of contributions, pledges, payments and orders, and is the point of contact for the reconciliation of all contributions with Finance. The Development Operations Manager will also provide tactical solutions for implementation of tasks related to the database.Altru is shared among multiple departments (e.g. Visitor Services, Public Programs, Finance, etc.) and requires an understanding and working knowledge of other department processes and procedures. This individual is responsible for ensuring high standards of quality, consistency, and accuracy across all NYHS records.ESSENTIAL JOB DUTIESServe as the main NYHS contact with CRM support;Manage the Development Department’s migration from Altru to Tessitura while working cross departmentally and with external vendors/consultants;Maintain the overall quality and integrity of the CRM database, including working with CRM support staff to troubleshoot problems with the database and staying current with updates to the system;Maintain highly accurate and current donor data that effectively tracks key information, cultivation activities and histories;Manage portfolio structures and back-end for frontline fundraisers in Tessitura;Establish and maintain best practices, procedures and business rules, and help with creating their documentation;Enter gifts and pledges and payment schedules; maintain donor records, membership gift entry adjustments and write-offs, etc.; Work with Senior Development Staff and Finance to edit/change/write off gifts and pledges as needed;Prepare weekly and monthly revenue reports, including gift recaps, past due pledges, upcoming pledge installments due, reports for the CFO, etc.;Reconcile gifts with the Finance Department;Support the Finance Department with the annual audit;Provide the Development department and other NYHS departments, reports, mailing lists, etc., as needed;Modify existing structures with the database for acknowledgement letters, membership renewals, appeal lists, invitations and mailings, etc.;Work effectively as a member of multiple project teams;Follow a strict code of confidentiality;Perform regular imports, exports, global add/change of constituent data: Gifts, Actions, Attributes, etc.;Maintain data integrity by performing regular cleanup projects including duplicate identification and removal, correcting online orders for address, phone and email information, etc.;General understanding of job function, goals, and vision of other departments using the CRM database, and how they relate to the overall organization and mission of NYHS;Perform additional administrative functions as required.REQUIREMENTSBachelor’s degree; 5+ years related development database experience;Tessitura experience with proficiency in reports, portfolios, analytics, campaigns, appeals, source codes, designations, integrations, special events modules, etc.;Highly organized and able to prioritize multiple long-term assignments while managing tasks of immediate need in a fast-paced, deadline driven environment;Sincere interest in the humanities and the arts;Proficiency with Microsoft Office Suite, fundraising database navigation, and fundraising research tools;Excellent and demonstrated expertise in database administration;Strong writing and interpersonal skills; ability to problem solve and work independently;Ability to work at a computer for long periods of time;The availability to work evening and/or weekend events when necessary.PHYSICAL DEMANDSThe physical demands described here are representative of those that must be met by an employee with or without accommodation, to successfully perform the essential functions of this job.This is largely a sedentary role using a computer; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stoop as necessary.COMPENSATION & BENEFITSThe expected salary range for this position is $70,000-$80,000.
