The JobAs the Office Manager, you will be the backbone of the office, ensuring smooth operations and supporting a high-performing team. Your responsibilities will include:Office Administration: Act as the primary tenant liaison with building management, oversee office budget and invoices, manage office access, safety, and security processes, and ensure compliance for office visitors.Facilities and Vendor Management: Maintain a pristine office environment by managing vendor services, office maintenance programs, and the implementation of new office systems.Space and Resource Planning: Manage office space planning and forecasting, oversee workplace amenities and resources, and facilitate internal office moves.Policy and Procedures: Develop and enforce office services policies and procedures, manage the office ergonomics program, and address and resolve day-to-day issues.Asset and Safety Management: Oversee the reporting and regulatory process for office assets, maintain life safety resources, and organize emergency training events.Logistics and Supplies: Maintain phone/email lists, manage office and kitchen supplies, oversee office equipment maintenance, and handle mailing, shipping, and shredding services.Meeting and Event Coordination: Assist in planning and coordinating social and team-building activities, set up and clean up for company meetings and events, including quarterly board meetings.Financial and Legal Support: Assist with financial and legal document preparation and coordination, work closely with accountants and lawyers, and handle confidential documents with discretion.Team and Partnership Management: Recruit, develop, and maintain a high-performing staff, and build strong partnerships with various business group leads across the firmAbout You:You're the type of person who thrives on variety and can achieve great things across multiple business areas thanks to your adaptability and ability to efficiently streamline processes. You'll also need:Bachelor's degree5 years of proven experience in an Office Management capacity, working in Fintech, financial service or similarCommunication skills to effectively engage across all levels of the businessTech savvy and the ability to learn new systems fastKnowledge of office management systems and processes and a desire to improve themMaintain critical office equipment and manage suppliers and stockAbility to manage multiple responsibilities
