We are seeking a highly motivated individual for the role of Executive Administrative Assistant supporting directly the Corporate VP of Pension Investments (CIO) and the Senior VP of Pension Investments (Deputy CIO) as well as the Pension Investments team on various administrative tasks.

The Pension Investment team is responsible for overseeing the investments of defined benefit and defined contribution plans. For the defined benefit plan, the goal is to ensure there are sufficient assets to fund promised future retirement benefits. This involves setting strategic policy, selecting and monitoring external investments, balancing risk and reward, and maintaining a long-term perspective to safeguard the interests of both the company and its employees. For the defined contribution plan, the focus is on selecting and monitoring investment options to help employees maximize their financial security and confidence in retirement.

The successful candidate will demonstrate initiative and be a self-starter, able to work in a highly collaborative and versatile environment handling an array of duties and responsibilities with particular focus on time management and multi-tasking abilities. This role requires an experienced administrative assistant with approx. 8+ years of directly supporting senior leadership, preferably in a corporate business setting. The role also requires expert organization and communication skills, and strong utilization of various Microsoft products, specifically Word, PowerPoint, Excel and Teams.

What You Will Do

Manage the executives’ travel and calendar including booking, moving, and/or prepping meetings

Format presentations in RTX board format for quarterly Pension and Savings plan Investment committees

Effectively and flawlessly provide calendar management of the investment committee meetings and review sessions, maintaining the committee member and non-member distribution lists

Accurately process expense and mileage reports with timely submission.

Oversee and process all SAP invoice payments ensuring that all payments are logged, paid timely, properly approved and supporting documentation is filed

Maintain accurate and updated organization charts, attending executive staff meeting, taking meeting minutes and distribute action items to attendees.

Perform data entry and other normal office functions such as setting up and maintaining contact files, arranging meetings, receiving, referring, distributing or answering mail

Notarize various documents for pension and saving plan trust accounts and tax reporting

Assist with pension and saving plan legal agreement archiving, including vendor agreements and investment contracts

Send, receive and process responses to investor information/documentation requests in consultation with investment, operations and legal staff

Maintain a database of vendor and investment manager contacts to support annual due diligence and other requests, including maintenance of a vendor and manager matrix

Assist with annual distribution of due diligence and DEI questionnaire, track responses and file documents

Complete restricted party screening for all non-investment manager vendors using RTX screening processes

Format and distribute monthly performance reports

Maintain standard work on all processes

Embrace and execute any and all other duties as required or assigned

Qualifications You Must Have

This role typically requires an AA/AS degree (or other 2-year post high school training) with a minimum of 8 years relevant experience. In the absence of a degree a combination of education, certifications and 10 years of relevant experience in lieu of degree may be considered....

U.S. citizenship is required, as only U.S. citizens are authorized to access the financial management system due to government contractual requirements.

At least 2 years’ experience and knowledge of SAP and SharePoint

At least 5 years’ experience with MS Office Suite of products especially with PowerPoint, Excel, Outlook, Word & Teams to include but not limited to: PowerPoint- Custom Slide Master Design, Embedded Multi-media and Interactive Presentations, Word- Macros, Creating Table of Contents and Indexes, Advanced Mail Merge, Excel- Data Analysis Tools, Advance Formulas

At least 5 years’ experience with digital collaboration tools and video/virtual conferencing platforms

Work Location:

Must be willing to work onsite in Farmington, CT; no relocation assistance will be provided for this role.

Hybrid: Employees who are working in Hybrid roles will work regularly both onsite and offsite. Ratio of time working onsite will be determined in partnership with your leader.

The salary range for this role is 48,000 USD - 116,000 USD. The salary range provided is a good faith estimate representative of all experience levels. RTX considers several factors when extending an offer, including but not limited to, the role, function and associated responsibilities, a candidate’s work experience, location, education/training, and key skills.
