SUMMARY : Coordinates all Center for Professional Excellence and Nursing Quality department activities and programs. Perform administrative secretarial functions for assigned department Manager or Director. In performing these duties, must utilize good judgment in planning work and acting within the limits of standard practice. Complete all work with a high degree of accuracy. Must be flexible to meet priorities and handle multiple tasks. Must display dedication, enthusiasm, commitment, and confidentiality.
Education - RequiredHigh School diploma requiredEducation - Preferred
Associate's or Bachelor's Degree Business, healthcare administration, or educationExperience - Preferred
1-5 years management support position experience preferred
Knowledge, Skills and Abilities - Required
REQUIREMENTS :Knowledge of secretarial functions normally acquired by completing high school and an advanced secretarial program or two years of secretarial experienceRequires NPR = 80%, Word Processing = 80% Mandatory/General Skills and 60% Advanced skills. Note taking abilities required. Experience with electronic spreadsheet and data base management required.Must have professional discretion with information, excellent communication skills, ability to work well under stress and with minimum supervisionMust possess an ability to oversee and coordinate a wide variety of responsibilities.Knowledge of Microsoft Office Suite to include Word, Excel, Powerpoint and Microsoft Office Products (i.e. TEAMs) required.No Holidays, No weekends. 8-4:30 pm M-F
Responsibilities :
Actively supports LVHHN values and exhibits excellent customer relations in anticipating customer needs in all interactions
a. Uses his/her behavior to demonstrate the values of LVHHN
b. All interactions must be consistent with stated values
c. Demonstrates flexibility in accommodating customer needs
d. Uses effective problem-solving skills in meeting customer needs
e. Functions as a participatory team member
2. Performs a wide variety of typing assignments (to include preparing & distributing meeting minutes)
a. All correspondence is neat, letter perfect and conform to LVHHN format
b. All assignments are completed within requested time frame and with minimal supervision
c. Prioritizes work according to requirements established by department
d. Maintains neat work area
3. Maintain calendar for Manager or Director as assigned
a. Schedules meetings and makes appropriate room reservations
4. Screens incoming phone calls for department and route appropriately, determines priority of calls and takes messages when required
5. Opens, sorts and routes incoming mail
6. Assists in gathering information and maintaining department records
a. Consistently attentive to record keeping and required paperwork inherent to position
b. Files material in a timely and organized fashion to facilitate easy retrieval
7. Helps to prepare nurse recognition correspondences and departmental reports
8. Assists with electronic filing and scanning
9. Collaborates with internal councils to schedule Outlook meetings, prepare meeting agendas, take meeting attendance and prepare post-meeting minutes.
