Job Title: Staff Assistant
Department: Path-O-Hematopathology
Location: Hospital of the University of Pennsylvania - 3400 Spruce St
Entity: CPUP
Hours: 8/8:30A start time, M-F, on-site
Summary: Responsible for clerical and clinical support within the department to include administrative, clinical and research related duties. Acts as a service resource for monitoring testing orders and sample retrieval for Hematopathology clinical services. Collaboratively works with the Hematopathology service coordinator on requests and coordination. Candidate needs to have strong organization, coordination and electronic communication skills.
Responsibilities:
Administrative Duties:
Maintain multiple calendars/schedules and meetings.
Compilation and submission of expenses for travel, subscriptions, memberships and books for re-imbursements in a timely fashion.
Answer and screen phone calls.
Take appropriate messages or delegate calls to appropriate support staff.
Has high level of organizational skills, respect for others, problem-solving skills, resourcefulness and understanding of responsibilities.
Other administrative duties as required to support divisional needs.
Clinical Duties:
Provide cross coverage for administrative staff and the Hematopathology service coordinator as directed by manager.
Accession flow cytometry cases.
Copy and disseminate weekly reports to pathologists.
Transcribe consult pathology cases for clinical service.
Research Related Responsibilities:
Retrieve materials as needed for research projects
Abilities:
Communicate with internal and external constituents
Follow oral and written instructions
Ability to use Microsoft Word, Outlook, Excel, and Power Point
Education or Equivalent Experience:
H.S. Diploma/GED (Required)
And 5+ years' experience in a High-Level Administrative Assistant Role (Required)
Associate or Bachelor's degree Preferred
Healthcare administration experience is a plus
