Position OverviewThe Chief of Staff is a key position for City Year Tulsa, reporting directly to the Executive Director, City Year Tulsa Chief of Staff oversees activities of the executive office, supports site strategy and special initiatives, and leads site equity and culture for staff, and leads budget development and financial monitoring. The Chief of Staff oversees a wide range of site functions to advance the site's agenda and the mission of City Year.

The Chief of Staff is a key position for City Year Tulsa, reporting directly to the Executive Director, City Year Tulsa Chief of Staff oversees activities of the executive office, supports site strategy and special initiatives, and leads site equity and culture for staff, and leads budget development and financial monitoring.

Job responsibilities

Site Strategy and Special Initiatives

Lead, manage, support, and monitor the development and implementation of City Year Tulsa's site advancement plan (SAP) to ensure departmental, individual, and site-wide goals are met through the application of continuous improvement principles while ensuring the plan remains aligned with staff capacity, financial resources, and stakeholder support.

Monitor all of City Year Tulsa's operating goals by working with department leadership to provide internal and external reporting. Ensure the Executive Director is aware of recommended actions and ensure response interventions are executed.

Collaborate with Executive Director and site leadership to manage the implementation, review, and modification of City Year Tulsa's strategic plans. Ensure departmental and site-wide progress is met and remains aligned with staff capacity, financial resources, and stakeholder support.

Work on the behalf of Executive Director for critical staff positions searches.

Partner with Executive Director and Leadership Team to determine how the Chief of Staff can support managing key strategic relationships with key stakeholders (e.g. public officials, Tulsa Public Schools, business leaders, etc.) and/or key initiatives.

Equity and Site Culture

Site Events: Lead the development and execution of site retreats and internal special events to create events that foster connecting, appreciation and centering for our staff and corps

Champion City Year Tulsa efforts to be an inclusive organization through the building and maintaining of an inclusive and diverse workplace by supporting Executive Director in the development and implementation of site vision to create an environment that enables high-performing and inclusive team members to bring their authentic selves to City Year Tulsa ensuring that staff and AmeriCorps members feel valued at work.

Budget Development and Financial Monitoring

Monitor site's financial progress and reporting and ensure all departments are forecasting how they will finish in the black at least every other month.

Analyze financial statements and revenue projections and prepare reports for Executive director and advisory board

Lead annual budget development process in consultation with Executive Director and site leadership.

Collaborate with Executive Director, Site Directors and HQ Finance to identify cost savings and revenue generation opportunities, prepare program budgets, and align operating budgets with strategy and donor intent.

Provide training and support to department finance leaders

Site Leadership Management

In partnership with Executive Director, manage agenda for site leadership meetings and facilitate the meeting.

Develop agenda for site staff meetings and facilitate the meetings.

Lead in collaboration with the Executive Director and Director of Data Strategy and analytics the quarterly review of site and programmatic data to identify successes and gaps to respond to plan to redeploy resources, develop training, and build capacity through an asset-based lens.

Support Executive Director in site internal communication and strategy

Compensation and Benefits

The compensation band for this role is $90,000-$105,000. Excellent benefits including health (medical, vision, dental) insurance, vacation, holidays, parental leave, 401K, a flexible spending account, and more.
