Collegiate School seeks a Database Manager to work in our Development office. The Database Manager is responsible for and manages the information systems that support Collegiate’s fundraising efforts. Key responsibilities include data input and extraction, gift processing and receipting, and management of alumni and donor records. This position requires a high degree of computer and database literacy, exceptional organization, superior attention to detail, problem-solving and confidentiality. The position supports the data needs of the Alumni and Development Office.This position reports to and works closely with the Associate Director of Development, and it is a full-time 12-month position.General Responsibilities include:Manages all aspects of gift processing and ensures integrity of the Raiser’s Edge database.Processes gifts daily and prepares batches, processes all receipting and gift acknowledgement letters for the Development Office and the Head of School.Oversees all memorial and honorary gifts and serves as the primary point of contact.Serves as the point of contact for matching gifts and stock gifts.Responsible for managing all data entry for constituent records in Raiser’s Edge and Paw Net, including address and contact updates, deaths, marriages, births, business information, relationships, returned mail. Creates strategies to obtain accurate email and cell phone information.Manages entry of affinity coding, including but not limited to student awards, college relationships, athletic and club affiliations, volunteer information, and Green and Gold student tracking on records.Supports the Associate Director of Development with special projects such as Blackbaud data health, prospect research needs, and benchmark reporting.Maintains a close working relationship with the Business Office in order to balance accounts, resolve issues, assist with audits and complete annual surveys.Reporting and Research DutiesIn coordination with the Associate Director of Development, enters all new students and families into Paw Net and Raiser’s Edge in late spring and flips the database in the summer.Assists team members with pulling information for event invitation and mailing lists, class lists for reunions, legacy lists, and other office needs.Prepares and maintains donor profiles for Chief Development Officer and Head of School.Assists the Associate Director of Development with prospect research and screening.Creates and maintains dashboards and reports to track and analyze departmental initiatives.Prepares and submits annual reporting for benchmarking purposes.Oversees endowment contact reporting.OtherOversees the preparation of the Report on Philanthropy.Produces the Family Directory in the summer.Develops, maintains and ensures best practices and procedures for Raiser’s Edge.General office duties such as ordering supplies, answering the Development Office phone, greeting visitors and responding to requests from the Collegiate community.Assists with departmental special events as needed.Successful candidates will possess the following qualifications and competencies:Bachelor’s DegreeMinimum 3 years fundraising or office experience with a focus on data.Commitment to diversity, equity and inclusiveness.Ability to build strong relationships with colleagues, alumni, parents, and friends.Passion for independent school education.Understanding and belief in Collegiate’s mission and goals.Strong written, verbal and interpersonal skills.Strong technology skills including Google Docs, Microsoft Word, Excel and PowerPoint.Experience in Blackbaud Raiser’s Edge or other Relationship Management System (RMS).Required Competencies:Excellent communication skills.Proven cross cultural competency skills.Demonstrates a strong commitment to a servant leadership model.Understands the big picture and handles areas of responsibility in a manner consistent with the School’s mission and values.Relates to the Collegiate community in a cooperative manner.Meets deadlines and handles multiple assignments simultaneously.Maintains confidentiality at all times.
