The Executive Office Administrator (Office Manager) will be responsible for several administrative duties including but not limited to:Perform front desk receptionist duties as needed.Provide security screening and badges for on-site visitors.Calendar management and meeting coordination for VP and Directors.Support KPI and performance measurement by regularly downloading data from various sources (ERP) and updating Excel files for team analysis.Schedule, support, and capture meeting minutes for leadership meetings.Evaluate, prioritize, and summarize critical correspondence for VP.Data collection, entry, organization, and basic analysis in ERP and MS Office tools.Create and coordinate lunch orders for conference rooms lunch meetings.Maintain corporate purchasing card to support purchasing requests from leadership and order office supplies as needed supporting 120+ employees. Reconcile on a monthly basis.Maintain common areas, conference rooms, and company breakroom, including supplies for these areas.Manage conference room availability through MS Outlook.Make travel arrangements for VP and Directors as needed.Create, reconcile, and process T&E reports as needed for VP, Directors, and Managers.Key point of contact for food services provider, plant service providers, and maintenance.Process FedEx packages as needed.Mail and package distribution and coordination.Assist with the creation and follow-up of facility requests.Assist leadership with facility renovations and process improvements.Requirements:
High School Diploma or equivalency5 years administrative support experienceProficiency with Microsoft Office (Excel, PowerPoint, TEAMS)Previous ERP system experience is preferred (IFS experience a plus)Superb organization, attention to detail, and multi-tasking abilitiesExcellent communication and note-taking skillsDependable, with a strong work ethicStrong follow-through on task completion and meeting deadlines
