Work Location: Richland, WA Salary Range: $59,250 - $79,990 annually (Determined by function, education, experience, and qualifications of the applicant.) Project Overview: Bechtel is designing, constructing, and commissioning the world's largest radioactive-waste treatment plant for the U.S. Department of Energy (DOE) in southeastern Washington state. The $12.2 billion project will use vitrification technology to process and stabilize 53 million gallons (200 million liters) of radioactive and chemical waste currently stored at the Hanford Site which is a byproduct of plutonium-production during World War II and the Cold War era. The cleanup project is one of DOE's most technically challenging and the largest undertaking of its kind - equivalent to building two nuclear power plants. The construction site spans 65 acres (26 hectares) and includes facilities for pretreatment, low-activity waste vitrification, and high-level waste vitrification, as well as an analytical laboratory. This position shall be performed under the day-to-day direction, control, and supervision of WTCC. The position is located at the Construction Site (located 22 miles north of Richland, WA), with a 4/10 work schedule, Monday - Thursday 6:30 a.m. to 5:00 p.m. Relocation is not authorized for this position. Job Summary: In this role, you will perform administrative duties that require proficiency, accuracy, judgement, initiative, discretion, and knowledge of protocol. You will handle both routine and complicated items, such as coordinating travel, preparing expense reports, and composing correspondence. Your ability to anticipate problems and changing priorities will help bring efficiency and organization to your team. Works independently to provide administrative and secretarial support of a responsible and confidential nature to assist WTCC senior management. Duties require accuracy, judgment, a high degree of initiative, discretion, diplomacy, and knowledge of protocol. Anticipates changing priorities and problems. Relieves senior managers of daily workload activities through the handling and referral of action items. Handles matters of a highly sensitive and confidential nature. LI-KL1 Major Responsibilities: Performs routine to complicated administrative duties of a responsible and confidential nature, under minimal supervision. Handles routine and complicated items independently and anticipates problems and changing priorities. Duties require accuracy, judgment, a moderate degree of initiative, discretion, diplomacy, and knowledge of protocol; Works with confidential information. Maintains a file of important matters for the executive's attention upon return. Anticipates changing priorities and problems, alerting the manager as required. Coordinates travel arrangements and travel itineraries; Prepares detailed expense reports using Concur or other expense report software as required. Composes routine correspondence for appropriate signature; Reviews outgoing correspondence to ensure accuracy and proper format; May be required to send documents to the client's document management system. Assists in coordinating internal and/or external meetings, maintaining calendar for responsible manager using Outlook or other calendar software, as appropriate. Compiles and distributes conference notes and meeting minutes, and the action items that result from the conferences and meetings. Assigns document numbers and enters into Bechtel electronic document management system. Additional Qualifications/Responsibilities Education and Experience Requirements: Requires 2-4 years of related experience. Required Knowledge, Skills, and Abilities: Ability to walk distances around the construction jobsite on gravel and walkways in inclement weather, e.g., heat, snow, rain. Ability to operate standard office equipment. Knowledge of filing systems and common office procedures. Experience with answering manager or supervisor office telephones. Excellent oral and written communications skills. Effective communication, teamwork, and interpersonal skills required. Must be proactive, have above average organizational skills, use individual initiative and follow assignments through to completion. Proven administrative capability including the ability to multitask while maintaining attention to detail and accuracy. Must be able to operate effectively in an extremely fast-paced, high energy environment. Must be flexible and willing to shift gears and take on unexpected and/or unanticipated projects as needed. Must demonstrate a positive attitude and work effectively with all levels of internal and external customers. Must be able to effectively deal with abstract and sometimes ambiguous situations in a positive manner and adjust quickly to changing priorities. Ability to produce meeting minutes and coordinate executive-level meetings. Knowledge of technical vocabularies and terminology common to the assignment preferred. Knowledge of Bechtel's organizational structure, functions, and procedures preferred. Must be able to work with confidential material and maintain strict confidences. Operation of standard computerized systems and other information transmission systems. Demonstrated knowledge of filing systems and common office procedures. Basic to intermediate knowledge of Microsoft Visio desired.
