Purpose of Position:
The primary purpose of this position is to serve as the confidential and personal assistant to the WIC Services Branch Chief; coordinate and provide administrative direction/support to WIC Services Branch staff; WIC Clinic supervisors and coordinate with FHSD Administrative Assistant and staff on administrative activities; and coordinate on any related activities from the Department of Health programs/offices and/or other state-level Executive Agencies.
Key Responsibilities:
Receives, reviews, and directs or distributes all incoming WIC Services Branch mail. For incoming correspondence, sets up priority to get important work out, and sets up controls to regulate workflow to workable proportion. This involves attaching pertinent material from the files and routing to the appropriate staff member for action. Screens and date-stamps all incoming correspondence, reports, documents, etc., and attaches background correspondence for branch chief to review subject matter. Urgent and significant matters are routed for top priority and expeditious handling. Receives, reviews, and directs all material from the branch chief.
Distributes all Departmental memos to appropriate staff members and programs of the branch. Coordinates replies of all departmental request of a routine nature for branch and sections as well as WIC clinics.
Receives and reviews for proper format to branch/division/ departmental policy and procedures and submits all WIC Services branch staff training requests. If requests are not provided in proper format, returns it to the section for correction. Maintains a file of all branch staff training requests and answers inquiries made by FHSD.
Answers inquiries made by branch administrative staff, section supervisors, and WIC clinic staff as related to policies and procedures of the department/state. Reviews departmental forms of a routine nature being submitted by branch sections and checks for accuracy.
Maintains all files on administrative correspondence and reference material for the branch. All correspondence, reports, and plans are maintained in appropriate files. Maintains a pending file and follows up on matters as the needs arises to meet deadlines, etc. Finds/searches for correspondence and documents in the branch files for the branch chief and administrative officer (AO).
Initiates and complies letters of acknowledgement, notification, etc. requiring specific policies, procedures or other information for branch chief's signature and drafts replies to other correspondence as directed; drafts consolidated reports and information submitted by the Section on plans, activities, accomplishments, etc. for the branch chief's review.
Assembles information from records, files, interviews, and various reference sources or makes request of Section Supervisors through proper channels, and prepares special reports (i.e., policy and procedures) and other paper for study by branch chief.
Prepares legislative brief and testimony, incorporating narrative content that is prepared by the branch chief or other staff.
