Position Summary:
The Overseas Mission Department is responsible for planning trips to Israel and other countries to enhance the efforts of UJA-Federation's annual campaign and involve our donors and prospects in the organization. These missions provide donors and prospects with the opportunity to see our work in action.
Primary Responsibilities:
Work with lay leaders, UJA-Federation, and Jewish Federations of North America professional staff and travel agents in planning tripsCommunicate weekly with UJA-Federation professionals on the status of their donors' missions, sending updated itineraries, notifying departure and return dates, and following up after missionCompile Mission Data to track the impact on our annual campaign of Missions at UJA-FederationRespond to e-mail and calls for general mission inquiries, and track information for future mission mailingsPlan and coordinate mission itineraries; map distances, research content, make changes to internal and external itinerariesDevelop a comprehensive cost sheet for each mission - communicate pricing to participants when requestedCoordinate mission logistics and individual participant requests, such as pre-arrival and post-mission reservations, hotel upgrades, transportation requests, touring options, agency visits and VIP meetingsMaintain mission and participant statistics for tracking and progress purposesWork in fundraising system to compile data and lists for mailings and note mission history on donor accountsWork with tour operators overseas and with UJA-Federation's Israel office to plan all site visits and put itinerary into effectDevelop and coordinate recruitment efforts with UJA-Federation staff and lay chairsBook flights with agent for UJA staff and participants upon requestCreate flight sheets for each mission with suggested flight timesWrite and edit donor mini-bios for each major donor missionWork with Accounting to process, maintain, and track mission revenue and expensesWork with OPR to provide information for donor tax-substantiation letters and IRS formsWork with M&C to update and maintain website with relevant information for open missions, as well as content for past missions and any dedicated web pagesCompetencies and Qualifications:
Bachelor's degree required2-3 years of prior work experiencePrior international travel experience; including to IsraelExtremely high level of organization and follow-through, with excellent attention to detailAbility to manage many multiple tasks simultaneouslyExcellent interpersonal skills and strong writing, administrative, time management, and organizational skillsHigh-level proficiency in Microsoft Office (especially Excel) and has the ability to learn new systemsExperience with Missions and knowledge of Israel travel preferred
Salary Information:
The salary range for this position is $65,000, commensurate with experience.
