Qualifications:A High School Diploma or equivalent is required.An associate degree from an accredited college or university; preferred.Two to three years of general office/administrative experience; required.
Essential Responsibilities:
We are hiring an Administrative Assistant to support our growing team! The ideal candidate will thrive in our fast-paced, growing organization, expanding their skills and abilities in pace with the company. You must be incredibly organized, a true team-player, and able to build strong relationships. Some key responsibilities:Manage and oversee all the digitalizing of paper documents via scanning for the various departments for the McKinley campus;Answer and return all phone calls in a pleasant and professional manner and transfer/direct calls to the appropriate person within the organization;Ensure all guests are properly checked into the tablet visitor platform and receive a guest badge identification;Dispatch all GFS vendors, customers, and visitors to the appropriate personnel and/or department, while adhering to the safety policy for onsite visitors (i.e., sign in, nametags, wrist bands, steel toed boots and/or covers, safety glasses, etc.);Escort new vendors, customers, and visitors throughout company premises, when necessary;Responsible for the Contractor/Visitor sign in procedure at the McKinley campus and creates reports, as needed;Manage the uniform process for all the employees for the McKinley and River Street locations under the direct supervision of the General Manager and ensure the Kaderly location is following the process;Manage and maintain all electronic files to include properly scanning and filing;Assist the Regulatory Department with document management on SharePoint;Distribute mail daily and aid with general office duties including; copying, scanning, laminating, etc.;Ensure all uniforms, office supplies, and cafeteria/kitchen supplies are fully stocked and available for use; place orders with the approved vendor(s) as necessary;Maintain a clean and professional work office environment (i.e., work area, conference rooms, copiers, fax machines, printers, kitchen areas, etc.);Responsible for ordering food and beverages (set-up and clean-up) for conferences, training sessions, new hire orientations, etc.;Assist with the planning and coordinating of events and preps accordingly;Assist Human Resources with onboarding new hires by creating benefits booklets, ordering uniforms, etc.;Assist Human Resources with recruitment initiatives to include application/resume screenings, phone interviews, scheduling on-site interviews, etc.;Coordinate and assist with updating training records for all employees;Assist with the assignment of training in the LMS system;Help maintain supplier safety data sheets; andOther duties as assigned.
