Electrical Consultants, Inc., (ECI) a leading power engineering consultant firm, has an immediate opening for an administrative assistant in Mankato, MN. ECI specializes in engineering services to electric utilities (substation, protection, transmission) alternative energy systems, communication, oil/gas, mining and heavy industry. Under general supervision of the General Manager, the successful candidate will be responsible for the day-to-day overall support functions of technical staff with administrative and receptionist duties and perform general document management tasks.
Responsibilities include but are not limited to:
Provide clerical and administrative support to managerial and technical staff to include but not limited to, assembly and handling of highly confidential information, prepare and edit complex documents, and file management all with appropriate decision-making and judgement.Communicate and coordinate (written and verbal) with the Managers, Engineers and Corporate staff members on all requested communications.Communicate (electronically and verbally) under project team direction with client and other third-party representatives on document requests and transmittals, keep accurate records of correspondence and track responses.Project support including plotting and scanning large drawings, basic copying, printing and filing, preparing meeting minutes and attending project meetings and taking notes, assembling of reports (both hard copy and electronically), dictation, working with large drawing sets, establishing filing systems and coordinating project meetings.Organize and plan office activities and special events.Coordinate and schedule meetings and vendor presentations.Prepare expense submittals to Corporate Accounting Department.Perform front desk/general receptionist functions to include screening incoming telephone calls and visitors. Distribute incoming and outgoing mail, shipping and receiving, cleanliness and organization of office area.Manage and order office supplies.Assist other offices as directed.No direct supervisory duties.Minimum Requirements:
AAS in Business plus 1 year of administrative experience in a professional office environment or high school diploma plus 3 years administrative experience in a professional office environment; prior administrative experience at an engineering or architectural firm is preferred. Proven effective verbal and written communication skills; demonstrated strong interpersonal skills; must possess ability to work cooperatively with different personalities; must be able to take direction from multiple managers and prioritize workload; ability to work individually and on a team. Basic Excel and Access skills and intermediate level skills of Word are required; experience with various software programs including Adobe, Bluebeam, Bentley View, Primavera P6 and Deltek are a plus. Must be detail oriented and possess a high level of organizational skills and ability to work with confidential information and ability to exercise independent judgment.
