PURPOSE and SCOPE
The Executive Assistant Manager will play a dual role, offering high-level administrative support to our President & CEO while also managing a team of executive assistants. This role requires a strategic thinker with exceptional organizational skills, leadership abilities, and a keen understanding of executive operations. The ideal candidate will excel in both administrative functions and team management.
ESSENTIAL DUTIES and RESPONSIBILITIES
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.Executive Support: Provide comprehensive administrative support to senior executives, including calendar management, meeting coordination, travel arrangements, and preparation of documents and presentations.Team Management: Oversee and coordinate the work of other executive assistants. Assign tasks, manage workloads, and ensure alignment with executive priorities. Provide guidance, training, and support to team members. Ensure backup support for executive support as needed.Communication: Serve as the primary liaison between executives and internal/external stakeholders. Handle high-level correspondence, draft and edit reports, and manage complex communication with professionalism and clarity.Meeting Coordination: Plan and facilitate meetings, including logistics, agendas, and follow-ups. Ensure smooth execution of meetings and maintain accurate records of minutes and action items.Continuous Improvement: Develop and implement best practices and procedures for the administrative team to enhance efficiency. Manage office resources, including supplies and equipment, and oversee routine office operations.Problem Solving: Proactively identify potential issues and provide solutions to improve processes and workflow. Address and resolve conflicts or challenges within the administrative team.EDUCATION and EXPERIENCE
Proven experience as an Executive Assistant or in a similar role, with a strong background in supporting senior executives.Previous experience managing a team of administrative professionals is preferred.Associate's or Bachelor's degree in Business Administration, Management, or a related field preferred.KNOWLEDGE and SKILL REQUIREMENTS

Strong organizational and multitasking abilities.Excellent written and verbal communication skills.Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).Ability to maintain a high level of discretion and confidentiality regarding sensitive information.Strong problem-solving skills and attention to detail.Proactive, resourceful, and adaptable with a positive attitude.
