Job Summary
The Co-op Admin is responsible for assisting the site leadership team with administrative functions and site-specific needs. This will include receptionist duties, coordinating meetings and providing support. This individual will work closely with the Site Leadership, Human Resource Manager, Production Manufacturing teams, as well other Department Managers by providing administrative and clerical support.
Responsibilities
Responsible for all reception duties to include scheduling meetings, scheduling site activities, retrieving and sorting mail, photocopying, and ordering supplies.Responsible for reconciling the site leaders expense report.Provide miscellaneous administrative site support for site leadership team.Responsible for ordering and coordinating lunches.Greeting, check-in and escort customers, clients, visitors, and prospective candidates.Assist, when necessary, on other projects that support the business.Responsible for updating the ATS and maintaining up to date candidate information.Assist with new employee onboarding.Assist with scheduling interviews with prospective candidates.Send correspondence to applicants detailing the interview process.Develop and maintain positive working relationships with Managers and Staff.Maintain databases, spreadsheets, and presentationsGeneral administrative tasks.Report on the progress of tasks on a regular basis.Assist with execution of employee events.Adhere to federal and state regulations.Adhere to all company policies, processes, and procedures.Performs other duties as requested, directed, or assigned.Predictable and reliable attendance.Position Qualifications
Undergraduate student working towards a Human Resource, Psychology, Business Administration, or another relevant degree.Must be able to work between 15-24 hours per week.Must possess and maintain a minimum of 3.0 GPA.Must fulfill 24 credit hours in one calendar year.Excellent interpersonal, written, and verbal communication skills, and the ability to prioritize tasks.Ability to prioritize tasks and handle numerous assignments simultaneously.Exceptional phone etiquette and capacity to always provide exceptional customer service.Proficient with Microsoft Office Software, including Excel, PowerPoint, Word, and Outlook.Co-op students may be eligible to work up to 4 years if enrolled in a college or university and fulfill the criteria noted above.Key Competencies
