Job Description SummaryPerforms administrative and fiscal duties for the COM Dean's Office Research and Space Planning areas which provide overall College space management. Establishes and maintains positive relationships as liaison between the College of Medicine and the other colleges and departments and centers (35) within the College, as well as individual faculty and staff, and outside vendors and others as appropriate. Informs Director of potential and actual problems and issues.

Job Description

30%: performs administrative and fiscal duties for the COM Dean's Office Research and Space Planning areas which provide overall College space management.

30%: submits and tracks work orders and purchase orders utilizing various University applications including Marketplace, AIM, UMS, and the University Financial Systems. Monitors work or payment requests to ensure timely processing and work completion. Informs Finance team of potential and actual problems and issues.

20%: works with the COM Dean's Office Research and Space Planning to help surplus old equipment and work with different departments to optimize space utilization.

5% Works with the COM Dean's Office Research and Space Planning to facilitate construction projects or for better space utilization. Creates and maintains project documentation. Provides hands on assistance when necessary. Informs Director of potential and actual problems and issues.

5% Develops and maintains FAQs for distribution to COM requestors including FAQ information regarding typical facilities issues, as well as State contract vendors as appropriate.

5% Establishes and maintains primary point of contact lists for all research buildings for distribution of building engineers at the beginning of each annual year.

5% Other duties as assigned.

Preferred Training and Experience

Prefer a bachelor's degree and experience in business administration, public administration, or administrative services is required.

Knowledge Skills and Abilities

Eligible applicant should also demonstrate the following:Proficiency with Microsoft Office 2010 including advanced Excel skills.

Excellent organizational and multi-tasking skills and ability to see projects through completion.

Ability to communicate effectively and professionally both in writing and orally, including proofreading and editing materials for dissemination.Ability to gather, organize and present oral and written information in a clear, concise, and accurate manner.
