GENERAL SUMMARY:

Saginaw Public Schools Class III Middle School Administative Assistanta are responsible for providing secretarial and clerical support to the assistant principal, ensuring the smooth and efficient operation of the building, providing maximum positive impact on the education of students and work environment of staff.

KNOWLEDGE, SKILLS AND ABILITIES:Knowledge of grammar, spelling and business correspondenceKnowledge in the use of general business office equipmentKnowledge of the software used to generate and maintain correspondence, reports and other documentsSkilled typist - 45 wpmAbility to deal effectively and courteously with all employee groupsAbility to compile data and reportsAbility to work with figuresAbility to work in a multi-cultural, urban setting and develop a rapport with students, staff, parents and the school communityPhysical Demands - While performing the duties of this job, the employee must be able to lift 30 lbs. and sit or stand for long periods of time. Create an atmosphere in the office that is welcoming and that values our students, parents, district employees and the communityProvide outstanding customer service to students, parents, staff and the communityTranscribe and maintain confidential information, correspondence, records and reportsMaintain and update student health and safety recordsPrepare requisitions, such as those for warehouse, special purchases and the activity fundMaintain lunch status of all familiesDistribute and collect physical cards for students involved in athletic activitiesMaintain eligibility list for each sportMaintain physical/insurance records of student athletesCollect and deposit insurance moneyPrepare suspension letters and schedule hearings as necessaryDeposit in-school sales into the appropriate activity fundCheck-in and distribute supplies, equipment and booksKeep all inventories currentSchedule parent conferences, fall and springRegister students and keep office records up to dateComplete and maintain work/repair orders, accident reports and field trip requestsAnswer incoming calls and direct or forward callers to the appropriate partySort and distribute mailFile papersPrepare the bi-weekly payroll for building staffPerform other duties as assignedEDUCATION AND/OR EXPERIENCE:

High school education or equivalentPrevious secretarial experience in a school or general office environment preferred
