Position Summary

The Philanthropy Associate is responsible for all database management on

Raiser's Edge NXT

cleaning files, developing and implanting coding fields, analysis, report generation, producing donor and prospect profiles, responding to requests for information, and maintaining overall database integrity and the accuracy of data imported and committed in the database.

This position is also responsible for clerical support to the Office of Philanthropy, particularly in the capital campaign and annual fund activities. This includes managing meeting schedules and materials, assisting with event planning, and answering any inquiries regarding donations.

The Office of Philanthropy is in a growth -mode and supports professional development and growth opportunities for the Philanthropy team.

Key ResponsibilitiesPerform accurate donor database management (constituent updates, actions, notes, attachments, queries, export, and regular maintenance).Oversee Raiser's Edge database management functions, including gift processing, and create all gift acknowledgments.Create reports as requestedOversee all major gift efforts by developing, maintaining, and updating information on new and existing donor prospects and producing donor and prospect profiles.Routinely examine and clean current data records to ensure data accuracy, eliminate duplicate and inconsistent data, and maintain overall database integrity and the accuracy of data imported and committed to the database.Process contributions received through all giving mechanisms and disseminate information to the Philanthropy Manager and Finance staff.Create and manage department dashboard for analysis, tracking metrics, fundraising, and financial reporting.Generate all financial reports for the Office of Philanthropy and Executive Team as needed.List management for campaign prospects, donors, events, and annual fund appeals.Develop MS Excel spreadsheet tools to manipulate data where Raiser's Edge tools are insufficient.Interact with all necessary departments/divisions (particularly Finance) to analyze and gather report requirements for generating criteria and output.Develop and maintain internal policies and procedures to ensure the quality and integrity of the database, as needed.Develop and maintain standard queries and reports.Answer phones and interact with donors, community members, volunteers, medical staff, hospital employees/departments, vendors, and outside agencies.Manage meeting calendars, ensuring adequate notice of the meeting and providing calendar information and materials.Ensures office policies and procedures are followed to best practice standards.Support the evolving needs of the Office of Philanthropy as it develops.Qualifications

Bachelor's degree in information systems, Communications, or a related field of studyMinimum three years of relevant experience; Raisers Edge NXT preferred but will consider other database experienceProficiency with Microsoft 365 and ExcelAbility to manage confidential information, multiple priorities, and competing deadlines, plus maintaining attention to detailProven experience utilizing analytical and strong problem-solving skillsStrong ability and commitment to accuracy and database integrityAbility to work with different individuals with different work stylesExcellent communication and organizational skillsAbility to manage multiple projects and exercise independent actionAbility to identify and solve problemsAbility to work independently and collaboratively in a team environment and collaborate across departmentsExperience in a non-profit organization or human services agency is preferred.Must sign and abide by HIPAA and 42 CFR, Part 2 confidentiality acknowledgments
