Job Summary:

JOB SUMMARY

Responsible for coordinating work orders, dispatching personnel, monitoring systems, and ensuring compliance within healthcare facilities. This role requires technical skills, multitasking, and excellent customer service, with availability for 24/7 shifts.

Qualifications & Skills

Experience with multi-line phone systems and managing call logs.

Proficiency in Microsoft Suite (Teams, Excel, Word, Outlook).

Strong time management, multitasking, and problem-solving skills.

Excellent communication and customer service abilities.

Ability to work any shift, including nights, weekends, and holidays.

Key Responsibilities

Technical Tasks:

Manage work requests via CMMS Healthcare System (TMS).

Maintain shift logs to keep the team updated.

Monitor building automation systems and research freezers.

Assist with preventive maintenance, alarm testing, and vendor testing for fire systems.

Oversee plumbing devices (sump pumps, domestic, DI, and sewage water).

Track and respond to alarms (freezers, HVAC, chilled water, medical gas, etc.).

Manage key distribution and access control.

Coordinate elevator repairs and emergency response protocols.

Ensure compliance with safety, animal care, and regulatory standards.

Administrative Tasks:

Prioritize calls, dispatch personnel, and resolve issues promptly.

Track daily shutdowns in collaboration with Planning, Design, and Construction.

Coordinate with the Carpentry and SER shops on repair and maintenance tasks.

Serve as a liaison with Security, VUPD, and property vendors.

Communication & Customer Service:

Maintain communication with vendors (CBRE, Lee Company) and offsite service teams.

Report alarms and building issues to appropriate teams.

Collaborate with hospital coordinators to ensure operational patient rooms.

Handle multi-line phones and manage high call volumes.

Provide exceptional customer service and de-escalate conflicts effectively.
