Job Description:

As a member of the Director’s Office, this position provides administrative support to the External Affairs team in the Division of Blind Services. The primary responsibilities of this position are preparing and proofreading publications, social media posts, documents, correspondence and reports. The incumbent is also responsible for maintaining files, managing calendars, arranging travel, researching and ordering outreach materials, promotional products and other goods/services and answering incoming calls.

Examples of Work:

Independently prepare documents and correspondence, maintain all administrative records and other documents as directed.

Proofread and edit documents, which may include the Division blog, newsletter, reports and a variety of documents.

Research, identify and purchase outreach materials using the My Florida Market Place (MFMP) system, and research, identify and purchase promotional items using the Gifts and Donations Fund.

Assist with the planning and facilitation of special events/meetings and prepare meeting materials.

Overnight travel or working outside of regular work hours may be necessary on occasion.

Serve as a backup to the legislative point person. Assist with the monitoring and tracking of pertinent legislation.

Provide backup support to the Director’s Office team as requested and prepare and audit travel authorizations and travel claims.

Answer incoming calls, route to appropriate staff person, take and distribute messages correctly and timely and provide general information to the public.

Responsible for records management, setting up new files and filing systems and maintaining the current filing system for the unit.

Perform research using the internet and provide quick turn around and accurate information on the research requested.

The employee must be familiar with or learn the Florida Department of State’s General Records Retention Schedule for State and Local Government Agencies, in order to establish minimum periods of time for which agency records must be retained based on the administrative value, and determine when the disposition of records is recommended.

Minimum Qualifications:

A bachelor's degree from an accredited college or university and two years of administrative experience.

A master's degree from an accredited college or university can substitute for one year of the required experience.

Administrative or clerical experience can substitute on a year-for-year basis for the required college education.

Knowledge, Skills & Abilities:

Ability to communicate verbally and in writing.

Knowledge and application of customer service etiquette.

Knowledge of Microsoft Office applications.

Ability to maintain work area in an organized and clean manner.

Ability to establish and maintain effective working relationships.
