First couple of weeks would be in-office for training.Job SummaryResponsible for the planning and execution of events, with guidance of manager. Works with senior and executive management. Handles the planning of events, including project management, invitation/attendance strategy, site selection, speaker bookings, venue negotiations and contracting, menu and entertainment planning, audio visual, print and other material development, tracking and analysis of customer-satisfaction surveys, and on-site hotel and vendor management. Develops, monitors and reports on individual meeting budgets.Essential FunctionsActs as project manager for assigned receptions and meetings, including site selection; online registration site development; attendee recruitment and reporting; speaker booking; budgeting; venue negotiations and contracting; menu and entertainment planning; audio visual; and print and other material development.Provides top-level customer service to bank's senior management in the planning and execution of events and top-level customer service to bank's external customer, with quick and professional response to requests and inquiries by phone, email and on-site.With assistance of manager, negotiates contracts with hotels and other vendors to bank's legal requirements and to the best financial benefit of the bank.Works with senior-level management to understand meeting objectives and desired outcomes. Assesses outcomes and adjusts future events accordingly.Manages ongoing vendor relationships with hotels, restaurants and other vendors.Partners with Corporate Communications team on presentations, print materials and other needs to ensure successful events.Coordinates collection and reporting of event evaluation and attendance data.Reviews and directs general departmental correspondence, including e-mail.Coordinates shipping logistics related to event materials.Identifies opportunities for efficiency and consistency through processes and procedures.Preferred Qualifications:High school diploma or GED - required. Bachelor's degree in business, hospitality, marketing or communications preferred.Proficient in contract negotiations with hotels, vendors and destination management companies.Capable of managing on-site events, including ability to make decisions and solve problems related to vendor management, and customer and bank management requests and changes.Knowledge and ability to respond to on-site emergencies with calm efficiency.Ability to work well with team members and the department's internal customers, including senior executives and other contacts across the bank.Ability to work independently, but with guidance from manager.Ability to work collaboratively in a team environment, with the ability to prioritize and manage multiple tasks and projects.Advanced organizational and time management skills, with budget competency.Excellent detail and customer service orientation, with the ability to meet high expectations for quality and service.Excellent verbal and written communication and interpersonal skills, with the ability to communicate effectively with customers and bank management.Demonstrated skill in Microsoft Office applications (Outlook, Word, PowerPoint and Excel).
