The Institute for International Education (IIE) leverages the power of international education to support the work of the U.S. Agency for International Development (USAID) worldwide in scholarship and fellowship management, workforce development, university partnerships, and local capacity building. Through these programs, IIE works with USAID and local stakeholders to build the capacity of institutions and individuals to reach USAID’s country-specific development goals in the areas of Education, Economic Growth, and Democratic Governance. To support this work, the Program Coordinator will support the administrative and financial processes and inputs needed across IIE’s portfolio of USAID-funded projects.Essential Functions :Interacts with other team members to arrange and schedule office and team meetings. Duties may include coordinating schedules, preparing meeting materials, setting up computer and A/V equipment, coordinating with IT help teams, note-taking and securing meeting space.Drafts and prepares standard office correspondence and other written materials/documents. Duties may include proofreading and editing standard office correspondence and other written materials/documents for spelling and grammar; creating summary reports on department/office activities and accomplishments; and copying and organizing documents that are dispersed internally.Provides finance, administrative, and logistical support to regionally diverse USAID portfolio of projects. Maintains accurate and detailed records.Administers payment requests and invoices. Duties include processing expense reports, scheduling payments, assisting with the creation of participant budgets, initiating payments to vendors and processing payments made to the office/department. Responsible for close tracking of invoices, payments, and related finance records. Provides updates to team on ongoing payment processes, notifies stakeholders of payments processed, and ensures up to date records available to relevant teams.Coordinates travel arrangements for participants on USAID-funded projects, while ensuring J1 visa regulation compliance. Books flights, hotels, ground transportation and conference registration for in-country arrival, re-entry workshops, and to return home. Supports the IIE team in administering orientation programs and re-entry workshops.Updates and maintains office databases, records and reports. Duties may include creation of reports for external and internal use, dissemination of resource data to team members, and providing research and programmatic support as necessary.Updates procedural documents and manuals related to finance, administration, and logistics.Provide coordination support for developing project newsletter content and monthly highlights, including communication with participants to set up interviews. Maintains and updates program website(s) by coordinating with colleagues regarding content. Responsible for complying with applicable contract and sponsor requirements and following all IIE policies and procedures. Performs other related duties and functions as assigned.Job Requirements :Education and Work Experience:Requires an associate's degree and at least two years of related work experience, or combination education and experience.Required Knowledge, Skills and Abilities:Good organization skills with high attention to detail.Ability to work on and prioritize multiple tasks.Ability to work well under pressure and meet deadlines.Good written and verbal communication skills.Intermediate knowledge of Microsoft Office Suites.Ability to interact with all levels of team members and external contacts; sensitive to cultural differences when working with people from other cultures.Ability to exercise discretion on confidential matters and to demonstrate sound judgment in consulting with and keeping others informed.Familiarity with web-based, content management systems, virtual knowledge sharing platforms such as discussion forums.Preferred Knowledge, Skills and Abilities:Experience in a professional office environment and experience living or studying abroad is preferred.Salary and Benefits :Salary Range: $53,847 - $60,093.
