About the role: The ICTx division at Boston Scientific is a dynamic and rapidly evolving business that impacts the lives of millions of patients each year, globally. ICTx is part of the cardiology franchise and consists of three divisions: Coronary Therapies (CT), Structural Heart (SH) and Interventional Heart Failure (IHF). Together, these divisions makes up more than $3B in annual revenue with significant revenue outside the United States. The cardiology division generates more than $6.5B in annual revenue and has several significant products in strong growth areas. The primary focus for this role is support of several key leaders as well as general administrative support for the ICTx Clinicalteam.. Will be responsible for coordinating departmental operating mechanisms. Works under minimal supervision. Work may be done without established procedures. Your responsibilities will include: Performs general administrative duties that may include photocopying, coordinating meetings/appointments, maintaining calendars of multiple individuals, typing, faxing, ordering/maintaining supplies, arranging travel and preparing expense reports, preparing and/or sorting mail. Contacts are frequent with individuals representing outside organizations and/or individuals of significant importance within the company. Contacts involve planning and preparation of communications, requiring tact, persuasion, and negotiation skills. Acts as lead or assists with event planning, organization and execution of internal or external events inclusive of invitations, location identification, site technology logistics, food and beverage, travel coordination for attendees, post event follow up as needed Accesses and leverages core technology systems and platforms to help manage the business. Will be asked to facilitate and execute reporting on a timed and ad hoc basis. Answers questions that may involve interpretation of policy. Viewed as key functional resource. May be responsible for various components of project assignments. Projects may be highly visible and require company resources. Develops, documents and administers procedures. Provides guidance to and may train others on those procedures. Translates complex and/or technical, in-depth thoughts into documents (letters/memos/presentations, etc.) by researching subject; anticipates needs for communications; makes suggestions for improvements in existing communications. Manages work in a confidential manner, ensuring information is shared with internal and external individuals in an appropriate manner; provides guidance to peers as necessary regarding proprietary information. Responsible for confidential information which typically consists of non-public company sensitive information (i.e. acquisitions, business strategies, financial data, etc.). What we're looking for in you: Required Qualifications: HS diploma or equivalent required 8+ years of administrative related experience Proven experience working in a fast-paced organization. Demonstrated proficiency in problem solving and prioritization Self starter mind set; ability to identify potential challenges and resolve on own Strong communication skills (verbal and written) and interpersonal skills with ability to work across multiple levels of an organization. Strong proficiency in MS Word, Excel & PowerPoint. Strong sense of responsibility and urgency as well as attention to detail. Strong customer-service orientation and professional demean r. Highest ethical standards. Discretion and sound judgment when dealing with confidential and/or sensitive information.
