Executive Administrative Assistant (Full-Time)

Proposed Schedule: 40 hours per week. Monday-Friday 8am-4:30pm
Position Summary
The Executive Administrative Assistant will provide professional administrative support to the Chief Operating Officer, Executive Vice President of Finance/Chief Financial Officer and Executive Leadership to ensure HHHN operates in an organized, efficient, and professional manner. The Administrative Assistant provides the necessary leadership skills to work effectively with management and staff and as such the position requires discretion in handling confidential, sensitive, and timely information.
Essential Duties and Responsibilities:
Works independently to meet the needs of the Executive team, this includes, but is not limited to accepting phone calls, booking travel, copying, making all meeting preparations, taking calls and meeting notes, organizing presentations, completing expense reports, etc.
Schedules and coordinates meetings, manage calendars and contact attendees appropriately; ensure meeting rooms are booked and set up in advance i.e., audio/visual, catering, oversees all logistics and completes minutes and assist with follow-up.
Schedules and coordinates trainings for internal departments and external partners/vendors.
Prepares letters, correspondence, agendas, presentations and reports as needed
Reporting of Operational statistics and data mining i.e. NYPorts, HRSA, FTE ratios and summaries, NQRCC, etc.
Proofread documents for clarity and grammar/punctuation/spelling
Screen emails as designated by Executive Leadership; respond appropriately or confer with Executive on appropriate response.
Support the Patient Advisory Council i.e. Assist with recruiting members, schedule meetings, attend/set up meetings within designated health centers, create agenda and meeting summary, as well as, serve as the contact person for PAC members and prepare correspondence as directed
Support Health Center Performance, including serving to help organize activities for new Health Centers i.e. Leadership Meetings
Prepare organizational charts; continually update as changes occur
Enthusiastically support the Mission, Vision, and Core Values of Hudson Headwaters Health Network.
Perform additional duties and special projects as assigned.
Qualifications:
The requirements listed below are representative of the knowledge, skill and ability to perform the essential functions:
Associates required, Bachelor’s degree preferred or equivalent work-related experience
3 to 5 years administrative support experience
Must be proficient in use of MS Office
Must have excellent organizational skill, verbal & written communication skills
Strong attention to detail and deadlines
Ability to build strong relations
The pay range for this position is $58,500 - $63,500 annually and will be determined based on skills and experience.
