Summary:
The Pediatric Anxiety Research Center at Bradley Hospital is an integrated research and clinical center nationally recognized in pediatric OCD and anxiety. PARC is affiliated with the Warren Alpert Medical School of Brown University and encompasses research projects outpatient services and an Intensive Treatment Program for OCD and related disorders.
Under the supervision of the Director and Associate Director of PARC the Administrative Coordinator performs a wide variety of administrative duties including maintaining research and center record-keeping updating center website scheduling internal and external meetings for research faculty as needed assisting with draft reports and formatting of publication and supporting day to day operations of the center (e.g. ordering office supplies IT requests volunteer onboarding).
Responsibilities:
Completes a wide range of word-processing tasks which include correspondence personnel profiles meeting agendas lists forms tables charts records statistical tables etc. May also take and transcribe meeting minutes and dictation.
On the basis of general instruction may assist in the preparation of periodic administrative and research reports statements drafts special reports or summaries.
Help prepare grant applications which may include assisting with tracking materials typing sections of grant preparing appendices of grant and working with PARC research faculty on all aspects of the application.
Assists researcher(s) or their designated representatives in preparation of administrative aspects of research grants.
Assists the Associate Director with PARC and Office of Research Administration on research and center budgeting. Helps to reconcile any discrepancies.
Assists in preparing manuscripts for publication including complete manuscript production using reference software for the insertion of references into manuscripts in accordance with the reference format appropriate to each journal. Supports updating faculty Biosketches and CVs.
Requisitions regularly used office supplies with authority to sign for purchases within specified limits.
Supports updating center website including research projects faculty profiles and general information as needed.
Manages volunteer on-boarding process at PARC. Support scheduling for onboarding for PARC new hires.
Assist with scheduling annual performance evaluation process for research Center staff.
Prepare distribute/present internal Center-wide communications and announcements related to the Center and/or hospital operations.
Support the utilization of systems and metrics for tracking monitoring and reporting on Center activities and accomplishments.
Represents the program in dealing with other departments.
Performs other related duties as assigned by the Director and/or Associate Director of PARC.
Other information:
BASIC KNOWLEDGE:
Bachelors degree preferred or equivalent combination of work and education experience.
Strong proficiency in word processing and spreadsheet applications required; knowledge of databases graphics programs and reference programs highly desirable.
Excellent written and oral communication and interpersonal skills required.
EXPERIENCE:
Three year administrative experience with some experience in grant or research preparation/execution preferably in a university research setting.
INDEPENDENT ACTION:
Works independently establishing own work plan and priorities to assure timely completion of all activities; refers problems to Management for clarification of priorities and procedures.
SUPERVISORY RESPONSIBILITY:
The Administrative Coordinator may orient new staff to office systems and processes and in consultation with the Director and Associate Director ensures division priorities and projects for support staff are appropriately distributed and completed on time.
