Position Overview:
Electronic Health Record SpecialistUnder supervision of the Business Intelligence Director, the Electronic Health Record Specialist manages technical aspects of the Electronic Health Record. The Specialist also ensures that providers can document and access client information securely while following the complex privacy requirement in behavioral health. Maintenance of the Electronic Health Record is vital for success in the role as well as providing training and ongoing support to employees in addition to implementing EHR workflows. Specialist will work with outside vendors to troubleshoot and improve system functions and capabilities.
Essential Job Functions: Electronic Health Record SpecialistEHR System Management for Behavioral Health: Manage and maintain the behavioral health-specific EHR system (preferably Netsmart Avatar) ensuring accurate documentation of patient treatment plans, therapy sessions, medication management, and progress notes.EHR Implementation: Implementation of new EHR features, processes, and new products. Designing and development of new forms for data entry.System Troubleshooting: Provide first line support for users with questions and issues. Resolve issues related to the EHR system in mental health settings, working with Clinical, Billing, Front Desk, BI staff to address technical challenges and user errors.System Maintenance and Setup: System maintenance for Clinical and Billing usage, such as Service Codes, Benefit Plans, Service Fees, Advanced Billing Rules, User Profiles, etc.System Upgrades: Research, test, and implement EHR software patches, updates, and upgrades.Training & User Support: Provide specialized training to therapists, counselors, psychiatrists, and administrative staff on EHR functionality specific to behavioral health workflows, such as tracking progress notes, managing group therapy records, and updating treatment plans.Quality Control & Audits: EHR specialist will work closely with the Quality Director.Behavioral Health Data Reporting: Assist in generating reports for mental health treatment outcomes, patient progress tracking, and quality improvement initiatives based on EHR dataProficient knowledge in navigating, maintaining and implementing procedures within an EHR.

Education/Skill Requirements:
Electronic Health Record SpecialistEducation: Bachelor's degree in Health Information Management, Behavioral Health, or Information Technology. An Associate degree or certification in EHR systems with experience in behavioral health settings is acceptable.Experience: 2-4 years of experience working with EHR systems in a behavioral health environment. Familiarity with mental health records, treatment plans, and privacy laws (e.g., HIPAA, 42 CFR Part 2) is essential.Technical Skills: Proficiency in EHR systems designed for behavioral health, such as Avatar by Netsmart. Familiarity with DSM-5, ICD-10, and CPT codes specific to mental health. Proficient with MS Office applications, including Microsoft Excel.Behavioral Health Knowledge: Understanding of mental health terminology, treatment plans, counseling/therapy documentation, and medication management in a behavioral health context.Attention to Detail: High level of accuracy in managing mental health records and ensuring compliance with behavioral health regulations.Communication Skills: Ability to collaborate with behavioral health clinicians and support staff in addressing EHR-related issues and training needs.Problem-Solving: Strong troubleshooting and critical thinking skills.Reasoning: Demonstrate the ability to effectively apply common sense and follow through to daily tasks; ability to work with little or no supervision. Ability to prioritize and multitask.
