The Applications Coordinator reports to the Director of Admissions on the Twin Cities campus. This position is primarily responsible for processing medical school applications through all stages for the MD, MD/PhD, and BA/MD program. This will also include gathering data and producing reports. The Applications Coordinator will also provide support to MD admissions and recruitment activities.Duties/Responsibilities40%: AMP and System ManagementLead the design, development, and ongoing use of AMP (application processing system). Lead user of AMCAS for schools and management. Responsible for entering matriculating students into Peoplesoft. Assess the need for other systems/processes as admissions changes take place.Manage access to the systems including creating user accounts, providing training, creating and maintaining training materials, managing permission and role configurations, and maintaining data security.Assist applicants with AMP/application related questions and/or issues.Maintain data integrity within and across all admissions systems, including AMP and PeopleSoft; manage integrations between systems and the movement of data between systems.Build and maintain resources and assets throughout the system including queries, reports, communications, events, dashboards, portals, applications, review forms, interviews, rules, workflows, custom datasets, etc.; create templates and provide training to allow for self-service by end users where appropriate.Liaise with other units to facilitate integrations with other systems, ensure that use of the system is in compliance with all applicable policies and laws, and to enhance collaboration across units in the Medical School and throughout the university.Maintain up-to-date knowledge of system functionality, participating in ongoing training to continuously enhance skills and optimize use of systems.20%: Admissions OperationsCollaborate closely with the admissions team to solve complex problems, improve business processes, automate functions, and enhance the experience of prospective students and applicants as well as internal users.Configure and submit all components of the annual AMCAS setup process, including submission of School Directory information, AMCAS configuration, and AMP configuration.Create and maintain Office of Admissions documentation of processes, procedures, and configurations of AMP, AMCAS, & Peoplesoft, and any other admissions systems and processes.Create and maintain processes for file organization including naming conventions, folder structure, and guidelines.30%: Admissions ActivitiesFunction as a member of the admissions team, working collaboratively to recruit and enroll a highly qualified, diverse student body.Build and maintain up-to-date knowledge of the medical profession, the MD program, and trends in health care.Participate in the application process and review.Assist with monitoring the admissions email account replying to or referring inquiries in a timely manner.10%: Team Support & Professional DevelopmentFunction as a team member in the Office of Admissions. Provide information to other team members and support them in the performance of their job responsibilities in a manner consistent with efficient operations and a service environment.Assist as needed with team and office needs, such as staffing the office and answering the main phone line in a shared office suite with the Office of Admissions.Carry out any other assigned tasks that are essential to the operation of the unit.Participate in professional development, service improvement efforts, and finding innovative ways to improve services and processes.
Qualifications
Required QualificationsBA/BS degree plus at least six years of relevant experience, or master's degree plus at least four years of relevant experience
