POSITION SUMMARY

Medgene Labs seeks an Office Manager to oversee office administration functions for a vaccine production company. The successful candidate will be responsible for maintaining office operations and procedures and will organize and coordinate office administration and procedures, to ensure organizational effectiveness and efficiency. The Administrative Assistant is responsible for developing intra-office communication protocols and streamlining administrative procedures. This position will report to the Vice President of Manufacturing.

JOB DUTIES

Responsible for managing office services by ensuring office operations and procedures are organized, correspondence is controlled, filing systems are maintained, and clerical functions are properly assigned and monitored.
  • Office Administration.
    • Main point of contact for phone calls and walk-in visitors
    • Responsible for maintaining and improving office policies, procedures, and standards that guide the operation of the office.
    • Analyze and monitor internal processes.
    • Partner with HR to coordinate and schedule training and onboarding with appropriate departments.
    • Maintain company directory.
    • Organize and assist with new hire materials prior to onboarding.
    • Organize and schedule meetings and appointments.
    • Organize and schedule site activities.
    • Organize and schedule travel arrangements and accommodations.
    • Manages conference room schedules.
    • Participate actively in the planning and execution of company events.
    • Assist executives with monthly expense reports.
  • Perform additional departmental administrative duties as required.
MINIMUM QUALIFICATIONS:
  • Knowledge of:
    • Proven office management, administrative or assistant experience
    • Knowledge of office management responsibilities, systems, and procedures
    • Excellent time management skills and ability to multi-task and prioritize work.
    • Self-starter with attention to detail and problem-solving skills.
    • Excellent written and verbal communication skills.
    • Strong organizational and planning skills.
    • Proficient in MS Office
    • Knowledge of data and administrative management practices and procedures
  • Ability to:
    • Communicate information clearly and concisely.
    • Establish and maintain effective relationships with coworkers.
