What will you do?
Provide high level administrative support for ( 4 ) Marketing organization VPs, requiring discretion, confidentiality, broad and comprehensive experience, skill and knowledge of the organization polices. Typically supports multiple executive level that are potentially in multiple locations.
Answers telephone calls, plan / book travel arrangements, and process expense reportsGather, compile, verify, and analyze information for the executive's in documents such as memos, letters, reports, speeches, presentations, and news releasesFacilitate smooth communications between the executives and coworkers and between the executive and external parties such as media, customers, and the publicAnalyzes problems, determines approach, compiles and analyzes data, and prepares recommendationsMay have access to email / calendar accounts of supported staff to schedule their appointments and answer or redirect inquiries from internal or external sourcesMay coordinate activities between departments and outside parties, especially when working on setting up events such as team meetings or regional conferencesAdvise, support, assist, coordinate, and collaborate on special projects which are highly complex, and involve creation and oversight of multifaceted teamsBe the point of contact for trouble shooting technology issues from those they support especially duringMay be required to update and/or order office suppliesWhat skills and capabilities will make you successful?
Excellent verbal and written communication skillsStrong organizational skills including, but not limited to, the ability to handle multiple demands and assignments along with the ability to prioritize tasks effectively and efficientlyDemonstrates a commitment to acquiring new capabilitiesDisplays a positive and team first attitudeKnows how to leverage resources and delegates effectivelyAbility to work with confidential information and manage confidential communicationsWhat qualifications will make you successful for this role?
3-5 years experience as an Executive Admin or Executive Assistant requiredExperience supporting multiple executives at one time preferredExpert ability in Microsoft Office programs including, but not limited to Outlook, Teams, Word, Excel and PowerPoint and potentially Microsoft ProjectExperience within Concur is preferredRequires the ability to exercise independent judgment with a high degree of initiative in resolving problems and developing recommendations.Capable of analyzing complex information requests and determining complex trends.
