Overview
In this role, you will be responsible for front desk reception, conference services, mail services, and other administrative duties as assigned by the Supervisor. You will provide team-oriented assistance and backup support to other personnel in the department as assigned.Your responsibilities will include:Administrative Support
Courteously greet visitors and clients, offer refreshments, determine their needs, notify appropriate host of arrival, and direct them to the appropriate person or officeProvides administrative support upon request, including maintaining calendars updating/distributing correspondence, photocopies, managing expense reports, filing and telephone coverageMaintains responsibility for general administrative support functions to the section to ensure efficient utilization of timeBuilding Maintenance
Maintains an environment to promote efficiency and visual appealMaintains lobby area, information and displaysSubmit work orders to property management as neededMonitors interior plant maintenance and process invoices for payment
Clerical
Performs data entry within appropriate timeframesManage all incoming and outgoing mail and packagesMaintain files of invoices and research discrepancies as neededCopiers:
Maintains copier supplies such as toner and replaces as neededMaintains current list of vendors and repair services and contact for service as needed
Supply room responsibilities:
Responsible for ordering, restocking and maintaining accurate inventory of standard corporate suppliesVerifies and codes invoices for all supplies, forward to supervisor for approvalLiaison between company and supply vendors. Reorders mailroom supplies (shipping materials, postage, etc.) as required
Employee Activities
Assists primary coordinator with company and office events such as annual meeting, holiday party, etc.
Conference Services
Coordinate client visits with host, food service, transportation, conference rooms, VIP badges, visitor information, etc.Setup and cleanup for corporate daytime meetings/conferencesMaintains accurate inventory for soft drinks, coffee, water, paper and plastic productsCodes and verifies incoming invoices for payment. Issue timely invoices for services and supplies as neededMaintains current calendar for upcoming meetings/conferences

Requires good hand-eye coordination, and arm, hand, and finger dexterity, including the ability to grasp, and visual acuity to use a keyboard, operate equipment and read application/form information.
