Job Overview

The Administrative Assistant II is responsible for providing support to the organization by managing schedules, handling correspondence, organizing meetings, managing records, and performing a variety of administrative tasks to ensure the smooth operation of Hubbell’s offices.

A Day In The Life

Every day at Hubbell is different and you’ll contribute in many ways. On any given day, you’ll make a difference by:

Handling incoming and outgoing correspondence, emails, and phone callsMaintaining and updating paper and electronic records, databases, and filing systemsCoordinating and maintaining calendar appointments, meetings and travel itineraries and coordinating related arrangementsDrafting and proofreading documents, reports, presentations, and assisting with editing and formatting as needed.Ordering and maintaining office supplies, managing equipment, and handling mail and deliveriesArranging, scheduling, and coordinating meetings, conferences, and presentationsPrepare meeting agendas, take minutes, and distribute them to attendeesSubmitting and reconciling expense reportsActing as point of contact for internal and external clientsAddressing and resolving administrative issues, inquiries, and requests from employees and external contactsCollaborating with other departments to support special projects, events, and initiativesProviding general support to visitors

What will help you thrive in this role?

High School Diploma (required)1-3 years of previous Customer Service, Support or Administrative experience (required)Proficient in Microsoft Office Suite or related software (required)Must be able to meet deadlines in a fast-paced quickly changing environmentExcellent verbal and written communication skillsStrong interpersonal and customer service skillsThe ability to multitask is a mustExcellent organizational skills and attention to detailBasic understanding of clerical procedures and systems such as recordkeeping and filingAbility to work independently
